We are seeking a detail-oriented and proactive Benefits Administrator to join our team on a part-time basis. This role is critical to ensuring the accurate administration of employee benefits programs, compliance with evolving regulations, and a seamless employee experience from onboarding through leave management. The ideal candidate will demonstrate exceptional quality assurance capabilities, stay current with employment laws, and take initiative to identify and resolve issues before they impact employees or the organization.

Benefits Administration & Quality Assurance
- Administer all employee benefits programs including health insurance, retirement plans, wellness programs, and other company-sponsored benefits with meticulous attention to detail
- Conduct regular audits of benefits data, enrollment records, and documentation to ensure 100% accuracy and identify discrepancies proactively
- Review and verify all benefits-related transactions, communications, and documentation before dissemination to employees
- Maintain quality control processes to prevent errors in benefits enrollment, changes, and terminations
- Serve as the primary point of contact for employee benefits inquiries, providing accurate and timely information
- Partner closely with our insurance broker on renewals, open enrollment, and compliance
- Stay current with federal, state, and local employment laws affecting benefits administration, including ACA, ERISA, FMLA, ADA, COBRA, HIPAA, and other applicable regulations
- Monitor legislative changes and proactively assess their impact on company benefits programs and policies
- Ensure all benefits programs, processes, and documentation remain compliant with current laws and regulations
Onboarding & Background Verification
- Manage critical components of the employee onboarding process, ensuring a positive first impression and compliance
- Verify completion and accuracy of background checks before employment begins
- Coordinate with background check vendors and follow up on any discrepancies or delays
- Ensure all pre-employment requirements are satisfied and documented prior to start dates
- Facilitate benefits enrollment for new hires, explaining options and deadlines clearly
- Create and maintain organized onboarding files with all required documentation
Medical Leave & Absence Management
- Oversee and coordinate all employee leaves of absence, including FMLA, short-term disability, long-term disability, workers' compensation, and personal leaves
- Proactively communicate with employees on leave regarding their rights, responsibilities, and benefits continuation
- Track leave eligibility, usage, and return-to-work dates with precision
- Collaborate with managers and People Operations to ensure smooth transitions when employees go on leave and return to work
- Maintain confidential leave records and ensure compliance with all applicable leave laws
Employee Handbook Management
- Review and update handbook content upon request to reflect policy changes, legal updates, and best practices
- Track and maintain records of employee handbook receipt and acknowledgment
- Respond to employee questions regarding handbook policies and procedures
Proactive Process Improvement
- Identify opportunities to streamline benefits administration processes and improve efficiency
- Take initiative to resolve problems independently while keeping appropriate stakeholders informed
- Develop and maintain procedure documentation to ensure consistency and continuity
- Usually work during normal business hours, Monday through Friday
- Approximately 20-25 hours per week with flexibility around payroll cycles, open enrollment, and quarterly vendor meetings.
Education and Experience
- 4+ years of experience in benefits administration or HR with substantial benefits responsibility
- Thorough knowledge of benefits regulations including FMLA, COBRA, ACA, ERISA, and HIPAA
- Demonstrated commitment to quality assurance and error-free work product
- Proven track record of staying current with employment law changes and proactively implementing necessary updates
- Experience managing medical leaves and understanding of accommodation requirements under ADA
- Strong organizational skills with ability to manage multiple priorities and deadlines
- Exceptional attention to detail and accuracy in all work
- Excellent written and verbal communication skills
- High level of discretion and ability to handle confidential information appropriately
- Proficiency with HRIS systems and benefits administration platforms
- Strong problem-solving skills and ability to work independently
PREFERRED QUALIFICATIONS
- CEBS (Certified Employee Benefits Specialist) or similar certification
- Experience with background check coordination and onboarding processes
- Knowledge of employee handbook development and maintenance
- Experience in a multi-state organization with varying compliance requirements
$40 - $50 an hour
