Position Summary:
The Manager is responsible for developing, planning, and implementing programs and systems to maximize patient access and provider efficiency for Consulting Services locations. This position will develop and support processes that deliver service excellence and high quality patient care. The Manager works collaboratively with the Consulting Services Director to strategically align clinical outcomes with industry best practices.
General Duties, Tasks and Responsibilities:
- Directs, plans and coordinates the daily activities of assigned medical practices to ensure proper coverage in all areas; including the delivery of quality, safe and compassionate patient care in compliance with all state and federal regulatory requirements.
- Assists the Consulting Services Director in the development and implementation of short and long-term planning growth of assigned practices, maximizing efficiency and cost effectiveness of practices by continuous review of policies and procedures.
- Obtains and analyzes department work load data to assist in planning and scheduling daily front office support staff to meet the department needs.
- Establishes and builds provider relations in assigned medical practices, supports on-boarding and orientation of new employees.
- Serves as a liaison between staff and providers to resolve issues, decrease expenses, increase productivity and promote efficiency.
- Maintains a comprehensive knowledge of health plan incentive programs, facilitates provider meetings; collaborating both internally and externally with care coordination.
- Ensures that revenue cycle processes and procedures are tightly coordinated and that all services provided are monitored and tracked within assigned practices.
- Monitors and ensures the achievement of established financial, service and quality measures and promotes continuous improvement in patient services and practice workflow for assigned medical practices.
- Ensures staff training and compliance with all regulatory standards.
- Maintains adequate inventory of supplies and equipment for each medical practice. Coordinates resolution of equipment repair, facility management, and safety issues. Supports cost containment and budgetary initiatives.
Leader Responsibilities:
- Interviews, selects, and supervises the activities of the department staff; communicates, interprets, and explains hospital policies and procedures, department objectives, organizational goals and budget.
- Defines department work methods and performance standards; prepares and discusses annual appraisal with direct reports; authorizes and communicates salary changes, promotions, transfers, discipline, discharges and administers all other personnel actions for the department.
- Establishes reporting and approval procedures; delegates authority to assistants in order for them to direct the work of others; provides authorization for supervision, orientation, training, job objectives, performance standards and appraisal, personal development, safety, communication, discipline, grievances and other personnel actions.
- Provides for maintenance of appropriate records in order to assure that the quality, quantity and timeliness of work done can be documented; reviews and appraises the work of others within the department; reviews and evaluates departmental performance; provides updates to Administration of department progress and any significant factors affecting assigned responsibilities.
- Ensures compliance with all state, federal and accreditation laws and requirements; maintains professional competence of staff through education and coordination with senior staff; plans for short and long-range goals of the department in concert with the whole organization.
- Prepares, upon request, reports and special studies; participates in and contributes to management and professional committees at all levels inside and outside of the organization; keeps informed of trends and changes which relate to assigned functions.
- Prepares, plans and discusses the department budget with the Consulting Services Director for review and approval.
- Complies with all established safety procedures to ensure a safe environment for patients, visitors and staff.
- Identifies, initiates, manages and participates in Performance Improvement activities to support organizational goals.
- Performs other duties as assigned.
Education Requirements:
- Associate's Degree in a related field required or Equivalent combination of education and experience
Certification/Licensure Requirements:
- Valid Driver's license with good driving record Required
Experience Requirements:
- Medical office including general medical office procedures, billing, insurance and computer systems minimum 3 years Preferred
Computer Skills:
- Strong computer skills including Microsoft Office
