The Office Coordinator Infection Prevention will provide support and assistance to the Infection Prevention and Quality Improvement teams and is responsible for the administrative activities to ensure compliance with quality standards.
Hours: Monday through Friday, 7:00am to 3:30pm
Salary: $41,190 - $68,289 / year
Office Coordinator Infection Prevention Responsibilities:
- Type and distribute correspondence using Microsoft Office Site and shorthand skills.
- Maintain updated files for the above correspondence.
- Record, transcribe, maintain, and distribute minutes. Maintain attendance records, record, transcribe and maintain meeting minutes. Schedule meeting rooms and/or catering for meetings, sending appropriate/timely notices to members and ancillary services.
- Maintain records for professional staff activities such as curriculum vitae, continuing medical education, professional licensure.
- Prepare graphs, papers and slides for Medical Director and professional staff using Microsoft Office Suite.
- Verify and file outside purchase orders received.
- Answer telephone and distribute messages in timely fashion to Medical Director and Infection Prevention professional staff.
- Process ICNet verification and/or microbiology phone calls of resistant organisms that includes entering information into Soarian Financials, and notification of respective nursing units.
- Type and maintain original and revised Infection Prevention Polices/procedures using Crouse Hospital Portal.
- Research and verify preadmission patients with past history of MDRO, entering verified patients into Soarian for proper admission placement.
- Document in ICNet any preadmission MDRO patients into Crouse HPF files for easy access for staff on nursing units.
- Transfer daily microbiology report spreadsheets to the Infection prevention nurses unit shared folder in Excel.
- Act as liaison between LACNY and infection prevention nurses with regards to reporting of positive cultures, additional surveillance cultures and any other problems or concerns.
- Manage the office for data collection, data output, and presentation of charts. Collect data from practitioners on infection rates, volume, ect. Enter the information into the National Healthcare safety Network (NHSN) software program and transmit the information once verified to CDC. Alert infection prevention nurses about exceptions; and new program opportunities and changes within the NHSN program. Maintain communications with CDC personnel regarding NHSN program.
- Manage the office from clerical and support standpoint for medical director, department director and infection prevention nurses. This includes but is not limited to maintaining communication/correspondence between Crouse and SUNY ID/IC offices; and other local health care providers and facilities. Office coordinator has PC accessible to SUNY Cais, and Novell email systems.
- Interact with local county health departments and NYS Department of Health providing demographic information when needed on reported patients with communicable diseases from Crouse; and/or process requests for additional information to the appropriate infection prevention nurse or infectious disease physician.
- Support the hospital’s Antimicrobial Stewardship Program through:
- Linezolid/Daptomycin Screens:
- Protocol patient numbers
- Daily Patient Log: 15 minutes per day,
- Kinetics Service renal follow-up
- Time sensitive in the morning
- ABxCum & duplicates
- Set up LLOS
- Gather creatinine clearances:
- Set up blood cultures:
- Set up patient work ups
- HANYS Report
- Assumes other duties as assigned by department leadership.
Job Requirements:
- Required: Associates Degree in a related field required.
- Preferred: Bachelor’s degree in a related field. Administrative Assistant Certification or Associates Degree in a related field preferred.
- Required: Two (2) years of relevant experience in an office setting.
- Preferred: Experience with Electronic Medical Record preferred.
