Title: Client Care Specialist
About the Role: We are seeking a mature, professional, and self-motivated Client Care Specialist to join our team. As the first point of contact for our clients, you play a vital role in creating a welcoming, respectful environment. This position is perfect for someone who balances strong interpersonal skills with a high level of detail-orientation and a "proactive" mindset.
You won't just be answering phones; you will be a guide for our clients—helping them navigate paperwork, understanding their insurance benefits, and ensuring their journey with our counselors is seamless and positive.
Requirements:
- Age/Maturity: Must be at least 18 years of age with a mature, professional demeanor.
- Experience: Proven experience working with the public; experience in a healthcare or clinical setting is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite and Google Workspace. Ability to learn and navigate EHR systems and virtual platforms like Clocktree.
- Soft Skills: Exceptional interpersonal skills, problem-solving abilities, and the ability to handle sensitive information respectfully.
- Reliability: A track record of punctuality and the flexibility to work two evening shifts (until 8:00 PM) per week.
- Compliance: Must maintain a current enhanced background check and adhere to all reporting protocols (including abuse reporting per Policy #320).

- Bilingual (English and Spanish)
Supervised by: Office Lead/HR Director
Location: Idaho Falls, Rigby or Rexburg office (as assigned on the work approved schedule)

Job functions, responsibility and authority:
- Client Welcome & Orientation: Greet clients warmly, assist with check-ins, and guide them through the orientation process and required paperwork.
- Insurance & Billing: Verify insurance benefits daily. Confidently discuss coverage and billing with clients, collect co-pays/balances, and close daily billing batches.
- Communication Hub: Manage multi-line phones, address voicemails, and respond to emails promptly. Assist with setting up telehealth appointments and making reminder calls.
- Administrative Support: Scan documentation into the Electronic Health Record (EHR) with 100% accuracy. Assist the Scheduling and Billing departments as needed.
- Provider Liaison: Support our counselors and community workers by managing schedules and documentation to ensure a high-quality experience for both staff and clients.
- Office Stewardship: Maintain a clean, organized, and sanitized environment (including light vacuuming/restocking) to ensure the office remains a professional space.
- Assist with other office responsibilities as assigned.
