Part-Time Patient Coordinator – Medical Spa

Location: Northern Virginia

Schedule: Part-Time (20–25 hrs/week)

Start Date: Immediately

Our med spa is growing, and we’re looking for a warm, organized, and service-driven Patient Coordinator to join our team and support our patients and providers. Key Responsibilities

• Greet and check-in patients, creating a welcoming and high-end experience

• Answer phone calls, return voicemails, and respond to patient inquiries

• Schedule appointments and manage daily provider schedules

• Educate patients about services, membership options, and skincare products

• Support patient consultation flow and treatment coordination

• Handle payments, invoices, and follow-up communication

• Maintain cleanliness and organization of front desk and lobby

• Work closely with providers and clinical team to ensure seamless patient care

What We’re Looking For

• Prior experience in a medical spa, luxury hospitality, or medical office preferred

• Professional, friendly, and polished communication and presentation

• Strong organizational skills and ability to multitask smoothly

• Comfort engaging with patients and discussing aesthetic services

• High level of discretion and professionalism with patient information

• Tech-savvy and willing to learn our scheduling/EMR systems

• Positive energy, team player, and committed to an exceptional patient experience
