Senior Client Settlement Services Manager

GENERAL POSITION SUMMARY

The Senior Client Settlement Services Manager will be responsible to lead the settlement process and overseeing the accurate and timely settlement of performances and events. This role is part of the Finance team and ensures ticket revenues, expenses and contractual deal terms are correctly applied and that settlements are prepared professionally for promoters, producers, and partners in all TO Live venues under the supervision of the Director of Finance.

ACTIVITIES AND RESPONSIBILITIES

  • Prepare variances to budget reports for events and provide discussion and analysis to senior management.
  • Assist in the budgeting and forecasting process, with a strong understanding of show costs, venue margins, and financial modelling as it relates to multiple theatres and varied event confirmations/contract statuses.
  • Produce financial show related reports for audit committee and board reporting, including KPIs, graphs, tables, and commentary, in a clear and concise manner.
  • Manage the end-to-end settlement process for performances and events.
  • Prepare, review, and approve settlement statements in accordance with contracts and policies
  • Reconcile box office reports with financial records and deposits.
  • Apply and interpret deal structures, including guarantees and percentage splits.
  • Review and validate event-related expenses and settlement deductions.
  • Serve as the main point of contact for settlement-related inquiries.
  • Collaborate with Box Office, Programming, Patron Services, Operations, and Finance teams.
  • Support continuous improvement of settlement processes and documentation.

Shared and backup activities with Accounting Assistant

  • Prepare settlements for Rental and Corporate client events, as well as TO Live Presents performances within department timelines and guidelines.
  • Communicate charges with clients, and with other internal departments as needed to ensure accuracy of settlement and departmental reporting.
  • Prepare journal entries, accruals, and month end balance sheet reconciliations, outlining variances and any necessary adjusting entries.
  • Meet with clients/producers on event days to finalize settlement documents.
  • Reconcile credit card reports, cash and cheques for box office, merchandise, and concession sales.
  • Review purchase orders and service orders from other TO Live departments.
  • Reconcile settlements and GL against reporting from ticketing partners, sponsors, and performance rights organizations.
  • Ensure client settlements align with contract terms, and sufficient deposits or box office funds are on hand to cover show costs.
  • Other ad hoc responsibilities, reporting/analysis as required.

General

  • This role plays a critical part in ensuring financial accuracy, operational excellence, and trusted relationships with artists and producers in a dynamic live performance environment.
  • Contribute to department and organization special projects as assigned.
  • Perform other duties as assigned by the Director of Finance and/or VP of Finance & Administration.

JOB SPECIFICATIONS

  • Experience in a presenting organization, venue operator, or live performance environment.
  • Experience working in a multi-venue or high-volume setting.
  • College, University degree in Accounting, Business, or CPA designation an asset.
  • 5-7 years of related professional experience in settlements, live event finance, or theatre accounting.
  • Advanced Excel skills.
  • Strong analytical and organizational skills.
  • Excellent diligence & clear, professional communication skills.
  • Ability to meet tight deadlines and work in a fast-paced environment.
  • Must have superior skills to be proactive and take initiative in problem solving.
  • Self-motivated and self-starter, ability to work well independently and within a team environment.
  • Supervisory or people-lead experience.

WORKING CONDITIONS

  • Flexibility in hours and schedules and include work on nights, statutory holidays and weekends as required.
  • Lack of natural light in workplace.
  • Occasional objectionable odors in workplace.
  • Travel between TO Live venues as required.
