About This Position
Dental Insurance & Production Coordinator
Full‑Time
Are you a detail‑oriented team player who loves helping patients understand their dental care while keeping the schedule running smoothly? We’re looking for a Dental Insurance & Production Coordinator to join our front office team — someone who can combine strong communication skills with a deep understanding of dental insurance and patient care coordination.
What You’ll Do
You’ll be the link between patients, our clinical team, and insurance carriers — ensuring every visit is seamless from check‑in to claim payment.
Patient Communication & Scheduling
Greet every patient with enthusiasm, empathy, and professionalism — whether by phone or in person.
Answer calls promptly, triage new patients and emergencies, and route messages appropriately.
Manage the daily and weekly schedule to keep providers productive while prioritizing patient needs.
Check patients in and out, confirm demographics and insurance details, and guide families through financial policies confidently.
Present treatment plans clearly, explain benefits and payment options (including in‑house plans), and schedule follow‑up visits to ensure care continuity.
Insurance Responsibilities
Verify eligibility and detailed dental benefits before visits, including annual maximums, frequencies, waiting periods, exclusions, and downgrades.
Enter and update insurance information, fee schedules, and benefit notes in the practice management system.
Prepare accurate treatment estimates reflecting insurance portions and patient copays.
Submit clean, complete claims with attachments and narratives; track claims through payment in coordination with the Revenue Cycle Management (RCM) Lead.
Post insurance payments, adjustments, and resolve denials or partial payments quickly and correctly.
Generate reports on outstanding claims and unpaid balances, and follow up on overdue accounts per office policy.
Teamwork & Office Collaboration
Communicate proactively with clinical and administrative colleagues to keep notes, procedures, and codes aligned.
Support daily routines such as morning huddles, end‑of‑day balancing, and recall/unscheduled treatment follow‑ups.
Participate in refining front office systems and checklists to make the team more efficient and consistent.
Assist with phones, patient inquiries, and general front‑desk support when needed — be the steady voice of calm and professionalism.
What We’re Looking For
Previous experience in dental insurance coordination, billing, or treatment coordination.
Strong communication and patient service skills — ability to explain complex benefit details in simple, friendly terms.
Knowledge of PPO, DMO, and fee‑for‑service structures, and how insurance flows from visit to payment.
Proficiency in dental practice management software (Open Dental, Eaglesoft, Dentrix, etc.).
Organized, persistent, and solutions‑driven — balancing accuracy with compassion.
