Job Description

POSITION SUMMARY

The Office Manager provides a wide range of administrative support, organizational assistance, and project management to the Program Director and Department Leads if applicable, in the fast-paced, urgent, high-accountability environment of the shelter.

The Office Manager creates productive relationships with clients, staff and leadership, including outside stakeholders and the Office of Refugee Resettlement (ORR), by demonstrating a high degree of confidentiality and discernment in handling sensitive information at all times. The Office Manager is able to handle a variety of tasks with competing deadlines in order to maintain day-to-day operations and safety of the facility, including but not limited to:

  • Research and create reports for a meetings with various stakeholders, including the Office of Refugee Resettlement
  • Process and maintain personnel and training records
  • Review monthly financials to ensure compliance with operations/contract requirements, including petty cash handling
  • Oversee inventory and supplies
  • Monitor the physical plant and vehicle maintenance to maintain a safe, clean and hazard-free environment. 
  • Travel as needed for trainings, conferences or to transport youth to destinations located within the state. 

MINIMUM QUALIFICATIONS AND COMPETENCIES

Education/Background

  • Highly Preferred: Bachelor degree from accredited program/institution.
    • Will consider Associate’s degree from accredited program/institution and 2+ years’ experience with ORR as an office manager will be considered in lieu of education.
  • 1-3 year of supervisory/administrative experience as an office manager.
  • Communicate effectively in English and Spanish, written and verbal.

Other Requirements:

  • Maintain current licenses and certificates required for the position.
  • Pass a pre-employment drug screen and random drug screens throughout employment.
  • Provide proof of work eligibility status upon request.
  • Pass pre-employment and biennial criminal background checks.
  • Maintain computer literacy to meet the responsibilities of the position.
  • Highly proficient in Office programs such as: Excel, Word, PowerPoint, Outlook, Teams.
