About the Role:
The Administrative Assistant plays a crucial role in supporting the operational efficiency of our manufacturing organization by managing a variety of administrative and clerical tasks. This position ensures smooth communication and coordination across departments by maintaining visitors, handling multi-line phone systems, and organizing and maintaining various paperwork and emails. The successful candidate will be responsible for accurate order entry and data management, which are vital for maintaining production schedules and customer satisfaction. By providing comprehensive general office support, the Administrative Assistant helps create an organized and productive work environment. Ultimately, this role contributes significantly to the seamless execution of daily business activities and supports the overall success of the manufacturing team.
Minimum Qualifications:
- High school diploma or equivalent required.
- Proven experience in administrative support or a similar role, preferably within a manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Associate degree or higher in Business Administration or related field.
- Experience with order entry software and manufacturing ERP systems.
- Familiarity with data platforms and customer management tools.
- Demonstrated ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of general manufacturing processes and terminology.
- Epicor knowledge or other various ERP system
Responsibilities:
- Perform accurate and timely order entry to support manufacturing and sales operations.
- Handle multi-line phone systems, directing calls and responding to inquiries professionally.
- Conduct general clerical duties such as ordering supplies, filing, photocopying, and preparing documents to support office functions.
- Assist with data entry tasks to ensure up-to-date and accurate records across various systems.
- Support internal communication by distributing memos, emails, and other correspondence as needed.
- Maintain office supplies inventory and place orders to ensure uninterrupted office operations.
