This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Client Acquisition and Intake Specialist based in Brazil.
This role serves as a key first point of contact for prospective clients, helping transform inbound inquiries into well-managed client opportunities. You will conduct structured discovery conversations, qualify prospects, coordinate consultations, and support the initial client retention process. The position combines customer engagement, organization, careful documentation, and adherence to established procedures. You will work independently while following approved scripts, qualification criteria, communication sequences, and fee guidelines. Success in this role requires excellent communication, strong attention to detail, and the ability to manage a high volume of inquiries with professionalism and empathy. It is a fast-paced, results-oriented opportunity for someone who enjoys building rapport and creating a positive client experience.
As a Client Acquisition and Intake Specialist, you will manage the end-to-end initial intake experience, from responding to new inquiries and qualifying prospects to scheduling consultations and supporting the retention process. You will follow established procedures while using sound judgment to identify matters that require escalation.
- Respond promptly to new inbound inquiries within established response-time requirements.
- Conduct structured discovery and intake conversations using approved scripts and procedures.
- Gather relevant factual and logistical information from prospective clients.
- Identify qualified prospects based on established written criteria.
- Explain practice areas, general processes, and the typical sequence of services without providing legal advice.
- Schedule free consultations with attorneys and manage the consultation calendar to maximize show rates.
- Follow up with prospects after consultations using approved communication sequences.
- Facilitate the initial retention process and prepare and send retainer agreements using approved templates.
- Quote retainer fees using the approved fee matrix and gather the information required to determine the appropriate fee category.
- Decline and refer inquiries that fall outside established criteria.
- Escalate potential conflicts, emergent circumstances, dissatisfaction, unusual fee arrangements, legal questions, and matters outside established intake procedures.
- Recognize emergent situations such as domestic violence matters, temporary restraining orders, orders to show cause, or hearings scheduled within 72 hours and escalate them appropriately.
- Maintain accurate records of inquiries, lead sources, consultations, follow-ups, and related activities.
- Participate in recorded call quality assurance reviews and maintain a minimum QA score of 4 out of 5 while respecting professional boundaries.
- Collaborate on continuous improvements to intake procedures and fee-matrix processes.
- Provide a consistently professional, responsive, and client-focused experience throughout the intake process.
Requirements:

- Availability to work from 8:30 AM to 5:00 PM Eastern Time, with coverage extending through the last inbound call of the day.
- English-only position.
- The role does not involve evaluating legal merits, performing case work, conducting paid consultations, or managing active legal matters.
- Ability to work independently while escalating matters that fall outside established criteria or procedures.
