Job Description

Dispatch Manager

A Dispatch Manager in a logistics company is integral to ensuring the effective and timely delivery of goods and services. This role involves coordinating, monitoring, and managing dispatch operations to support smooth and efficient logistics processes.

The Dispatch Manager is responsible for the overall leadership of the Dispatch Department, including the direct management of the Dispatch Supervisors who oversee the day-to-day activities of the dispatch team. The Dispatch Manager provides direction, coaching, accountability, and support to the supervisors while ensuring dispatch operations meet company policies, operational goals, safety requirements, and customer expectations.

Key Responsibilities

  • Supervisor Leadership and Management: Directly manage and provide leadership to the Dispatch Supervisors who oversee the Dispatch team. Establish expectations, provide coaching and feedback, monitor performance, and ensure supervisors are effectively managing their assigned teams and responsibilities.
  • Dispatch Team Oversight: Maintain overall responsibility for the performance of the Dispatch Department. Work through the Dispatch Supervisors to ensure dispatchers are properly trained, supported, scheduled, and held accountable to company standards.
  • Coordination of Dispatch Operations: Manage and oversee daily dispatch activities, including scheduling, routing, driver coverage, and tracking deliveries to ensure efficiency, reliability, and on-time service.
  • Staffing and Coverage: Work with supervisors to ensure appropriate staffing and coverage across shifts, including managing call-offs, PTO, schedule changes, workload fluctuations, and other operational needs.
  • Leadership Development: Develop and mentor Dispatch Supervisors by strengthening their leadership, communication, decision-making, problem-solving, and team-management skills.
  • Performance Management: Monitor supervisor and department performance, address performance concerns, recognize strong performance, establish improvement expectations, and ensure appropriate follow-through.
  • Communication: Maintain open and effective communication with Dispatch Supervisors, dispatchers, drivers, operations leadership, customers, and other departments to provide updates and resolve issues promptly.
  • Escalation Management: Serve as a point of escalation for significant operational, driver, customer, or staffing issues that cannot be resolved at the supervisor level.
  • Problem-Solving: Identify and resolve dispatch-related problems, delays, service failures, and operational challenges. Implement corrective actions and process improvements to help prevent recurring issues.
  • Compliance: Ensure all dispatch activities comply with company policies, customer requirements, industry regulations, and applicable safety standards.
  • Reporting and Performance Metrics: Prepare, review, and present reports on dispatch performance, including service levels, response times, staffing, customer concerns, operational efficiency, and other key performance indicators.
  • Technology Utilization: Utilize dispatch software, routing systems, GPS tracking, communication platforms, and other technologies to monitor operations and improve efficiency.
  • Customer Service: Address escalated customer inquiries, concerns, and complaints related to dispatch operations while working with supervisors and staff to improve service delivery and customer satisfaction.
  • Budget and Resource Management: Monitor dispatch-related expenses, staffing levels, overtime, and resource utilization to maintain effective operations while controlling unnecessary costs.
  • Continuous Improvement: Identify opportunities to improve dispatch processes, communication, staffing, training, accountability, and overall department performance.

Qualifications and Skills

  • Education: Bachelor's degree in logistics, supply chain management, business administration, or a related field preferred, or equivalent combination of education and relevant experience.
  • Management Experience: Proven management experience in dispatch, logistics, transportation, operations, or a similar environment. Experience managing supervisors or other front-line leaders is strongly preferred.
  • Leadership: Strong leadership skills with the ability to effectively manage multiple supervisors, establish accountability, develop leaders, and drive performance across a larger team.
  • Communication: Excellent verbal and written communication skills with the ability to communicate professionally with employees, leadership, drivers, customers, and other stakeholders.
  • Problem-Solving: Strong problem-solving and decision-making abilities, including the ability to respond effectively to time-sensitive operational issues and escalations.
  • Organizational Skills: Exceptional organizational and time-management skills with the ability to manage multiple priorities, delegate responsibilities, and maintain appropriate follow-through.
  • Performance Management: Ability to establish clear expectations, coach supervisors and employees, address performance concerns, and maintain accountability throughout the department.
  • Technical Proficiency: Familiarity with dispatch software, GPS tracking systems, routing technology, reporting tools, and other relevant operational systems.
  • Attention to Detail: Strong attention to detail to ensure accuracy in scheduling, routing, staffing, reporting, and operational execution.
  • Customer Service: Strong customer-service skills with the ability to address concerns professionally and maintain positive customer relationships.
  • Flexibility: Ability to adapt to changing operational needs, priorities, staffing requirements, and customer demands in a fast-paced logistics environment.
