Key Responsibilities

Supply Chain & Distribution Coordination

• Liaise with distribution centers and 3PL partners on order status and product allocation, using SAP for order tracking and inventory visibility.

Customer Service

• Serve as the first point of contact for client inquiries via phone, email, and in-person.

• Resolve customer issues promptly and professionally, escalating when necessary.

• Maintain accurate records of customer interactions and feedback.

Project Coordination

• Assist in planning, tracking, and reporting on internal projects and initiatives.

• Monitor project timelines, budgets, and deliverables using project management tools.

• Collaborate with cross-functional teams to ensure project alignment and success.

Cross-Functional Flexibility

• Take on ad hoc cross-functional projects and administrative initiatives as business needs evolve, partnering with Sales, Marketing, Finance, Regulatory, and Supply Chain as required.

Office Management

• Oversee day-to-day office operations, including vendor coordination, supply management, and facility maintenance.

• Support onboarding of new hires by coordinating workspace setup and IT access.

• Organize internal events, meetings, and team-building activities.

Administrative Support

• Prepare reports, presentations, and correspondence for senior leadership.

• Manage calendars, schedule meetings, expense report and coordinate travel arrangements for senior leadership.

• Maintain departmental policies and ensure timely updates and compliance.

Requirements:

Qualifications

• Post-secondary education in Business Administration, Office Management, or related field.

• 3+ years of experience in an operations, administrative, or business support role, ideally spanning multiple functions.

• Proficiency in SAP (or a similar ERP system) for order processing, expense management, and inventory/supply chain tracking.

• Proficiency in Microsoft Office Suite and project management software (e.g., Asana, Trello, MS Project).

• Strong organizational, communication, and problem-solving skills.

• Comfortable working across multiple business functions with shifting priorities.

• Ability to manage multiple priorities and work independently in a hybrid environment.

Preferred Skills

• Experience in the pharmaceutical or healthcare industry.

• Familiarity with regulatory documentation and compliance standards.

• Bilingual (English/French) is an asset.
