Rather than simply maintaining processes, you'll continuously improve them through automation and AI while supporting critical business and fund operations.What You'll DoRecruiting & People Operations
- Run the full recruiting cycle: sourcing coordination, scheduling, candidate communication, and interview logistics
- Own onboarding and offboarding end to end, shaping a great candidate and employee experience as we grow
- Keep HR systems, records, and people processes accurate and current
- Be a culture carrier for a distributed team, the connective tissue that keeps everyone connected
- Keep the firm's operating cadences running (Monday kickoff, weekly reviews, Friday close, QBRs) and improve them over time
- Own calendars and cross-functional coordination so leadership never loses time to friction
- Administer vendors, subscriptions, and tools, consolidating and automating where it saves time or money
- Help build the reporting and metrics that feed our weekly and quarterly cadences, automating the data pulls behind them
- Document and continuously improve internal playbooks, flagging what should be automated
- Manage company expenses and the corporate-card program (Ramp): categorization, receipts, and policy adherence
- Coordinate vendor invoices, payment scheduling, and reimbursements
- Support payroll, equity, and records administration, and help the bookkeeper and Head of Ops keep clean financials
- Partner with the Head of Ops on fund operations, taking on the hands-on, delegable tasks and running them cleanly end to end
- Review monthly NAVs ahead of the Head of Ops's sign-off, coordinating with the fund administrator (Fundviews) on month-end and helping reconcile positions and cash
- Process investor subscriptions, redemptions, and transfers, and keep KYC/AML onboarding and the investor register accurate and current
- Help run capital calls, distributions, and fee calculations, and coordinate the related payments
- Pull fund control-book data to help produce quarterly fact sheets and investor performance reporting
- Support fund formation during launches: open accounts, register with the relevant authorities, and collect and review documentation, flexing to all-hands when a new fund launches
- Master our tool stack and become the firm's go-to expert, then optimize each system to how we actually work
- Treat every process you own as a candidate for automation: spot repetitive work and redesign it to run with AI and agentic workflows
- Build and prototype your own automations and agents (with the Chief of Staff & Agents) to take recurring work off the team's plate
- Track impact, time saved and reliability, as work moves from manual to automated
- Triage and manage the IR inbox: route, prioritize, and follow up so nothing slips
- Act as first-line on investor questions, responding in Equi's voice and escalating what needs the Head of Ops or IR
- Coordinate IR logistics and quarterly board materials: prep, scheduling, and follow-through
- Manage travel and itineraries for the founders and leadership team
- Track action items across leadership workstreams so nothing stalls
- Support outbound campaigns and sequences: draft and refine messaging to ~80% and hand off to the Head of Sales
- Help improve communication and outreach quality across channels
- Google Workspace: email, calendar, and docs
- Slack: internal communication
- Notion: knowledge base and documentation
- Linear: project and issue tracking
- Ashby & Pin: recruiting and sourcing
- HubSpot: CRM and outreach
- Ramp: expenses and corporate cards
- Fund administration & NAV (e.g., Fundviews): fund-operations coordination and reporting
- Claude, Codex, and agentic AI tools: automation, drafting, and workflow
- English: C2 / near-native proficiency, written and spoken
- Experience: 8+ years as a seasoned business-operations generalist whose range spans business operations, accounting and fund administration, and sales, marketing and IR, not a pure executive-assistant background
- Investment Management/Capital Markets Industry Experience
- Accounting foundation (required): hands-on accounting experience, fluent across P&L, balance sheet, and cash flow, and able to review fund NAVs; fund administration or fund-accounting exposure is a strong plus
- Startup-tested: you've thrived in a fast-paced, early-stage startup, comfortable with ambiguity and rapid change while moving fast without dropping quality
- Cross-functional breadth: you've owned and improved processes across multiple functions (recruiting/people, operations, finance/fund operations, investor relations/exec support, and sales/marketing), not just one
- Systems fluency: you master modern tools quickly and make them work better, rather than just maintaining them
- AI-literate and hands-on: you don't just use AI tools, you build workflows and agents to eliminate the manual work you own
- Ownership: exceptional organization and follow-through; you own outcomes end to end and never drop a ball
- Judgment: sound discretion handling confidential investor, financial, and personnel information
- Hands-on experience building automations or AI agents (e.g., Zapier, Make, or agent frameworks), or a clear eagerness to learn
- Recruiting, HR, or people-operations experience
- Experience supporting investor relations, finance, or professional-services teams
- Comfort interacting directly with founders, investors, and executives
- Strongly preferred: a background in financial services, asset management, or investment management. This is a technical industry and direct exposure is a real edge; a strong interest and fast ramp can substitute.
