About the Role
The Escrow Assistant plays a critical role in supporting loan administration, construction disbursements, and post-closing activities. This position helps ensure loan files are accurate, complete, and compliant while coordinating document processing, contractor payments, lender communications, and funding activities. What You'll Do
Loan Administration & Document Management
- Sort and review closed loan documents to ensure all required signatures, initials, and notary acknowledgments have been properly completed
- Scan, index, and maintain loan documents within company software systems
- Upload documents to lender portals and maintain accurate electronic records
- Prepare, package, and ship loan documents to lenders according to established timelines
- Coordinate the delivery of closed loan documents to local lending partners
Disbursements & Payment Processing
- Review invoices and enter payment requests in accordance with company procedures
- Issue contractor payments and support construction draw processes
- Track and maintain executed lien waivers and supporting documentation
- Assist with the disbursement of closed loan packages
- Make daily deposits to local financial institutions
Compliance & Quality Control
- Conduct file audits to verify completeness, accuracy, and compliance with company and lender requirements
- Review loan files to ensure required documents have been received, processed, and properly maintained
- Support compliance with company policies, lender guidelines, and industry standards
- Identify and escalate discrepancies, missing documentation, or processing issues
Communication & Collaboration
- Serve as a point of contact for lenders, contractors, relators, and internal team members
- Respond to requests for documentation, funding information, and loan status updates
- Collaborate with escrow, closing, post-closing, and accounting teams to ensure timely loan processing
- Assist with special projects and additional responsibilities as assigned
What You Bring
Required Qualifications
- High school diploma or equivalent
- Strong attention to detail and analytical skills
- Excellent organizational and time-management abilities
- Effective written and verbal communication skills
- Ability to work independently and collaboratively within a team environment
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Reliable transportation for daily deposits
- Ability to successfully pass a background check
Additional preferred qualifications:
- Associate or bachelor's degree in a related field
- Two years of administrative, escrow, title, lending, banking, mortgage, or related experience
- Experience with loan documentation, construction draws, disbursements, or post-closing activities
- Familiarity with lender portals and document management systems

Work Environment & Schedule
- Full-time position
- Monday-Friday schedule
- Primarily office-based work with frequent computer use
- Frequent use of computer, phone, scanner, and standard office equipment
- Must be able to lift up to 15 pounds at times
- Reliable transportation required for daily deposits and document deliveries
- Primarily sedentary work performed in an office setting
