The Job
The Legal Receptionist will play an important role in creating a welcoming and professional experience for clients, prospective clients, and visitors while supporting the Firm’s day-to-day front-office operations. This role is ideal for someone who is highly organized, dependable, and service-oriented and who enjoys helping people, managing multiple priorities, and being an integral part of a fast-paced, client-focused environment.
Compensation $18.00 –$20.00/hour + Bonus Potential
Key Responsibilities
Serve as the first point of contact for incoming calls, clients, prospective clients, visitors, and vendors, providing a professional and welcoming experience. Answer and appropriately route incoming telephone calls, messages, emails, and other communications. Greet clients and visitors and assist with established check-in and check-out procedures. Assist with creating prospective client intakes and accurately entering information into the Firm’s systems. Schedule and confirm initial consultations in accordance with Firm procedures and scheduling guidelines. Provide general, non-legal information about the Firm and direct inquiries to the appropriate employee or team. Receive client payments as needed and ensure they are processed in accordance with Firm procedures. Receive, sort, distribute, and prepare incoming and outgoing mail, deliveries, packages, and correspondence. Scan, upload, organize, and route documents and assist with maintaining electronic and physical files. Provide general administrative support, including document preparation, copying, scanning, printing, translation/interpretation, and support for other employees as needed. Help maintain the reception area, conference rooms, and other client-facing spaces to ensure a professional, organized, and welcoming office environment. Meet established Key Performance Indicator (KPI) expectations and other performance standards applicable to the position.Other duties as assigned.Required Qualifications
Fluent in English and Spanish, with strong verbal and written communication skills in both languages. High school diploma or equivalent required; associate’s degree or college coursework preferred. Minimum of one (1) year of experience in a receptionist, administrative, customer service, or professional office setting; law firm experience preferred but not required. Strong interpersonal and customer service skills, with the ability to communicate professionally, compassionately, and respectfully with clients and visitors. Professional telephone etiquette and the ability to appropriately handle and route a high volume of incoming calls and inquiries. Highly organized and detail-oriented, with the ability to manage multiple responsibilities and competing priorities. Proficient in Microsoft Office and comfortable learning and using practice management, communication, and other office technology. Ability to exercise discretion and maintain strict confidentiality when handling sensitive client and Firm information. Dependable and punctual, with the ability to consistently maintain front-desk coverage and follow through on assigned responsibilities. Professional appearance and demeanor appropriate for a client-facing law firm environment. Ability to work collaboratively, take direction, and provide administrative support across departments as needed. Ability to work a rotational Saturday schedule from 9:00 a.m. to 1:00 p.m. as part of the position’s regular scheduling requirements. Ability to work occasional additional hours outside the regular schedule when necessary to support office coverage, Firm events, or operational needs.Key Success Factors
