Job Description: Sales Inventory Specialist
Position Summary
The Sales Inventory Specialist is responsible for maintaining accurate records and physical control of all vehicles on dealership property. This role ensures that incoming vehicles are properly received, tagged, keyed, and entered into inventory systems, and that vehicle locations are accurately tracked at all times. The Sales Inventory Specialist supports the sales team by providing timely inventory information and assisting with clerical and administrative tasks that contribute to an exceptional customer experience.
Essential Duties and Responsibilities
Inventory Management
  • Maintain accurate accounting and tracking of all vehicles located on dealership property.
  • Compare vehicle identification numbers (VINs) and serial numbers of incoming vehicles against invoices and shipping documentation to ensure accuracy.
  • Barcode vehicles and update inventory records in dealership systems.
  • Assign stock control numbers to all incoming vehicles.
  • Catalog, organize, and securely store vehicle keys.
  • Run inventory and location reports to identify the status and placement of vehicles.
  • Assist in setting up weekly auction lineups as needed.

  • Administrative Support
  • Perform clerical and administrative duties as assigned.
  • Prepare and maintain accurate documentation related to vehicle inventory.
  • Protect confidential dealership and customer information at all times.

  • Team Support and Customer Service
  • Contribute to delivering an exceptional guest experience by proactively supporting team members and responding promptly to requests for information or assistance.
  • Maintain a team-first attitude and willingly assist in tasks outside of core responsibilities when needed.
  • Build and maintain positive working relationships with co-workers, customers, and vendors.
  • Work collaboratively in a team environment to achieve departmental and dealership goals.

  • Compliance and Professional Standards
  • Adhere to all company policies, procedures, and safety standards.
  • Maintain regular attendance and punctuality.
  • Keep the work area clean, organized, and professional.
  • Maintain a professional appearance in accordance with the dealership dress code.

  • Qualifications
  • High school diploma or equivalent required.
  • Previous automotive dealership, inventory control, or administrative experience preferred.
  • Strong attention to detail and organizational skills.
  • Basic computer proficiency, including experience with spreadsheets and dealership management systems.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal and communication skills.
  • Ability to work effectively in a fast-paced environment and adapt to changing priorities.

  • Physical Requirements
  • Regularly required to sit and talk or hear.
  • Occasionally required to stand and walk.
  • Occasionally lift and/or move up to 10 pounds.
  • Specific vision abilities include close vision and the ability to adjust focus.

  • Work Environment
    This position is performed in a dealership office and lot environment. The role may require occasional exposure to outdoor weather conditions while locating and inspecting vehicles.
