Description:

A Field Operations Specialist recruits, leads and develops independent leaders through coaching and support, driving integrity, accountability, and performance. They focus on sales growth, profitability, customer relationships, and managing bad debt while ensuring operational excellence and community involvement.

ESSENTIAL FUNCTIONS

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

  • Supervises, directs, and evaluates assigned staff, processing employee concerns and problems, directing work, counseling, disciplining, and completing employee performance appraisals.
  • Oversees and supervises store managers, credit managers and management candidates; plans work schedules and coordinates activities.
  • Ensures new store openings are on schedule and consistent with the store opening checklist; and responsible for submitting checklist change recommendations to Executive Director of Field Administration.
  • Receives field assignments to visit and analyze total operations of assigned company stores; peruses sales data, credit and collection records, profit and loss trends, staffing history, employee issues, and customer database.
  • Develops store manager assignments, strategies, and reporting requirements based upon initial visit analysis.
  • Monitors and reviews daily, weekly, and/or monthly sales reports, profit and loss statements, and credit reports to identify any potential problems or deficiencies in sales, store operations or credit/receivable collections.
  • Conducts detailed on-site store inspections to examine the condition of merchandise presentations and displays, tagging, cleanliness, cash handling, bookkeeping, warehouse and delivery, inventory management, personnel, customer service, credit procedures, company vehicles, building condition and appearance, and other aspects of conducting business.
  • Performs sales, credit and operational reviews to ensure adherence to all company policies and procedures; provides training in the specific areas highlighted in the reviews.
  • Provides training to store manager in all areas including, but not limited to, maintaining an acceptable profit, work scheduling, delegation of duties, warehousing, payroll and inventory control, ordering merchandise, displaying merchandise, taking inventory count, advertising, sales management, and resolving customer complaints.
  • Presents weekly written assignments to store manager; reviews completed assignments during visits and address any shortcomings or areas where improvements are warranted; provides forms, data, training instruction to store managers when requested.
  • Monitors the payroll of each store to identify discrepancies and errors; establishes monthly payroll budgets with store managers.
  • Assists store managers with planning and executing sales promotions; provides training on running successful preferred customer sales and advertising campaigns; reviews current advertising procedures; researches local markets for improved means of advertising.
  • Advises as to how to administer approved budget and how to monitor, review and approve operational expenditures for fiscal compliance; recommends methods to reduce expenses.
  • Conducts meetings with store managers on a routine basis; provides guidance and assistance to managers on use of various reporting tools to help manage all store departments and improve overall store operational performance.
  • Oversees credit progress, advises on controlling bad debt losses, and assists with setting profit and loss goals; reviews operational and credit policies and procedures.
  • Reports potential problems involving credit, sales, human resources, or operational issues to Group Manager and Regional Directors as need arises.
  • Attends various corporate operations, group managers and credit committee meeting as required.
  • Maintains a work environment free of legally prohibited discriminatory practices and sexual harassment.
  • Completes, prepares, reviews, and/or approves a variety of forms, logs, requests, records, reports, correspondence, and other documents associated with daily responsibilities of this position; prepares and maintains files and administrative records.
  • Operates a computer terminal, printer, calculator, copy machines, telephone, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.
  • Responsible for maintaining open, two-way communication—proactively sharing thoughts, concerns, and recommendations with upper management, while also effectively communicating and reinforcing programs, policies, and procedures to Store Managers.

Requirements:

MINIMUM QUALIFICATIONS

Bachelor’s degree in Business Administration/Management, Finance Management, or closely related field; five (5) years of management experience in business management, multi-store retail administration and management, or as a operations analyst; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Includes exercising judgment in determining time, place and/or sequence of operations, referencing data analyses to determine necessity for revision of organizational components, and in the formulation of operational strategy.

Human Interaction: Requires the ability to function in a managerial capacity for a division or organizational unit. Includes the ability to make decisions on procedural and technical levels.

Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.

Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, advisory and/or design data and information.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; the ability to calculate decimals and percentages; the ability to utilize principles of fractions; and the ability to interpret graphs.

Functional Reasoning: Requires the ability to apply principles of influence systems, such as motivation, incentive, and leadership, and to exercise independent judgment to apply facts and principles for developing approaches and techniques to resolve problems.

Situational Reasoning: Requires the ability to exercise judgment, decisiveness and creativity in situations involving the evaluation of information against sensory, judgmental, or subjective criteria, as opposed to that which is clearly measurable or verifiable.
