Job Summary
The Human Resources Generalist will run the daily administrative functions of the Human Resources (HR) department including maintenance of the HRIS, benefits administration, staff onboarding and projects as assigned.
Essential Functions
- Assists employees with benefits enrollment, plan changes, and qualifying life event documentation; escalates complex questions to the HR Business Partner or benefits broker as needed.
- Processes new hire, life event, and open enrollment benefit elections in Paylocity, ensuring effective dates, dependent information, and beneficiary designations are entered accurately and on schedule.
- Reconciles benefits enrollment data between Paylocity and carrier/vendor systems on a monthly basis; identifies and resolves discrepancies prior to invoice reconciliation.
- Prepares and distributes benefits communications, open enrollment materials, and new hire benefits guides; supports COBRA notifications and tracks required timelines in coordination with the third-party administrator.
- Assists with annual open enrollment logistics, including scheduling benefits meetings, preparing enrollment packets, and tracking employee completion.
- Maintains benefits files and documentation in compliance with ERISA, HIPAA, and applicable record-retention requirements.
- Maintains and audits I-9 documentation for all new hires using E-Verify, ensuring completion within required timeframes.
- Supports HR compliance reporting requirements, including EEO-1, OSHA logs, and Joint Commission (TJC) documentation requests, as assigned.
- Reviews personnel files on a regular basis to confirm required licenses, certifications, and compliance documents (e.g., background checks, drug screen) are current and properly filed; tracks expiring items and notifies employees and department directors of upcoming renewal deadlines.
- Maintains confidentiality of employee records in accordance with HIPAA and applicable state and federal recordkeeping regulations.
- Assists with unemployment claims and verification requests, routing to the appropriate HR staff or third-party administrator as needed.
- Supports internal and external HR audits by pulling, organizing, and submitting requested documentation.
- Uploads, scans, and files new hire paperwork, badges, personnel change forms, and other supporting documents into employee records within Paylocity, ensuring accuracy and completeness.
- Enters and audits personnel change notices (new hires, transfers, terminations, pay changes) in Paylocity prior to payroll transmission deadlines; partners with Payroll and HR team members to resolve discrepancies.
- Assists employees with accessing and navigating Paylocity Employee Self-Service (ESS), including basic login and troubleshooting support.
- Maintains accurate, up-to-date electronic personnel files within Paylocity's document management module in accordance with HR recordkeeping standards.
- Runs standard reports from Paylocity (e.g., headcount, terminations) for HR staff and department directors as requested.
- Coordinates new hire onboarding logistics, including scheduling, tracking outstanding pre-employment items, and preparing orientation materials.
- Assists with facilitation of New Hire Orientation, trainings and completes required onboarding documentation.
- Completes employment and income verification requests for current and former employees.
- Provides front-line customer service to visitors and employees in the Human Resources office; answers and directs calls on the main HR line.
- Assists with employee badge requests and issues.
- Prepares ad hoc reports and correspondence for HR staff and department leadership as requested; maintains office supplies, department calendars, and general office organization.

Experience
- 1-2 years of general office, administrative, or Human Resources experience required; healthcare, benefits administration, or HRIS/Paylocity experience preferred.
- Strong communication, organizational, and computer skills preferably in excel; ability to work independently, maintain confidentiality, and manage multiple priorities under deadlines.

- Associates in business or HR related field preferred
