Position Description:
About the role:
The HR Administrator will provide direct administrative and operational support to the Director of Human Resources. The central purpose of this role is to help the Director of HR by taking ownership of day-to-day administrative tasks, keeping priorities organized, and ensuring consistent follow-through across the HR function.
This is not an entry-level opportunity. Prior HR administrative experience is required, and the successful candidate must be comfortable working independently in a fast-paced environment with strong organization, judgment, professionalism, and attention to detail.
Confidentiality is a significant responsibility in this position. The HR department handles highly sensitive employee and company information, and trust will be built over time. The individual may not have immediate access to every sensitive matter; instead, greater access and responsibility will be introduced as they demonstrate discretion, reliability, sound judgment, and the ability to maintain strict confidentiality.
The role may be more heavily focused on administrative support at first, including scheduling, records, onboarding coordination, time-off tracking, recruitment support, and general department organization. As the individual becomes established and earns trust, the position has the opportunity to grow into broader HR responsibilities, including benefits, compliance, payroll coordination, employee relations support, and other confidential HR matters.
This is an excellent opportunity for an experienced HR professional who is comfortable starting in a hands-on support capacity and wants to grow into a trusted, long-term partner to the Director of HR.
What you’ll do:

Core duties and responsibilities include the following. Other duties may be assigned

• Serve as a dependable administrative partner to the Director of HR, supporting scheduling, correspondence, organization, department workflow, and day-to-day priorities
• Maintain and update confidential employee records, personnel files, and HRIS data with a high degree of accuracy
• Assist with onboarding and offboarding
• Manage and track employee time-off requests
• Liaise with employees to ensure timecards are accurate and ready for payroll processing
• Administer employee benefits enrollment, changes, and inquiries in coordination with the Director of HR and benefits brokers
• Support recruitment efforts, including posting jobs, screening resumes, scheduling interviews, and coordinating with hiring managers (office and field/jobsite positions)
• Track and maintain compliance documentation required in the construction industry (payroll support, OSHA training records, wage documentation, EEO reporting, etc.)
• Assist in preparing for and maintaining compliance with federal, state, and NYC-specific employment laws
• Handle sensitive employee relations matters, complaints, and investigations with the highest level of discretion and confidentiality
• Prepare HR reports, metrics, and correspondence for leadership as needed
• Assist with performance management processes, including tracking review cycles and maintaining documentation
• Support payroll coordination and ensure accurate transmission of employee data to payroll/finance
• Respond to employee inquiries regarding policies, procedures, and benefits in a professional and timely manner
• Assist with special projects, audits, and process improvements within the HR department
• Ensure all HR files, both physical and digital, are properly secured and access is restricted appropriately
• Adhoc responsibilities, as needed

Qualifications
• Bachelor's degree in Human Resources, Business Administration, or related field preferred
• 5+ years of HR administrative experience required; construction or related industry experience strongly preferred
• Demonstrated discretion, integrity, and sound judgment, with the ability to earn trust when handling confidential and sensitive information
• Strong working knowledge of employment laws applicable to New York State and New York City
• Experience with HRIS systems (e.g., ADP, ExtensisHR, or similar)
• Proficiency in Microsoft Office Suite, particularly Excel
• Excellent organizational skills with strong attention to detail and follow-through
• Strong written and verbal communication skills
• Ability to multitask and prioritize in a fast-paced, deadline-driven environment
• Experience with payroll a plus

Job Type: Full-time in office position; no remote work

Company Offers:
• Pay: $85,000-$92,000 annually based on experience and education
