ProFlex Physical Therapy, powered by Areté Health, is looking for a Patient Experience Coordinator to join our team in Gaithersburg, MD.
You'll be the first friendly face our patients see and an important part of keeping the clinic running smoothly. From creating a welcoming experience to coordinating appointments, supporting patient collections, and helping patients stay on track with their treatment plans, you'll work closely with the Clinic Director and therapists to make every visit a positive one.
What you'll want to know
- Compensation: $18.00-$22.00 based on experience plus applicable performance incentives.
- Schedule: Full-time, onsite.
- Location: Gaithersburg, MD.
- Work environment: Outpatient physical therapy clinic where you'll manage front-office operations, patient scheduling, and collections while working closely with the Clinic Director and clinical team. This is a patient-facing role that balances hospitality with administrative responsibilities and measurable performance goals.
- What makes this opportunity different: This isn't just a traditional front-desk position. You'll play a direct role in helping patients complete their prescribed care while contributing to the clinic's overall patient experience and operational success.
- Welcome patients and visitors, creating a warm, professional, and positive experience from the moment they walk through the door.
- Coordinate appointments, rescheduling, and proactive patient outreach to help patients stay consistent with their prescribed treatment plans.
- Verify insurance benefits, communicate patient financial responsibilities, and collect copays, deductibles, and outstanding balances.
- Follow up on patient balances through phone, text, and email with professionalism and empathy.
- Partner with the Clinic Director and therapists to maintain full schedules, fill appointment openings, and support patients in completing their plans of care.
- Maintain accurate patient information in the electronic health record (EHR) and scheduling systems to support smooth daily clinic operations.
Required
- Strong interpersonal skills and emotional intelligence, with a genuine interest in helping people.
- Excellent organization, time management, and attention to detail.
- Comfort discussing financial responsibilities and collecting patient payments.
- Strong computer proficiency and experience using an electronic medical record (EMR/EHR) system.
- Ability to work toward measurable performance goals and contribute to clinic success.
Preferred
- Previous experience in a healthcare front-office, patient coordination, or outpatient therapy setting.
- Familiarity with insurance verification, patient collections, and appointment management.
- Experience with Prompt EMR or a similar healthcare platform.

The pay range for this role is:
18 - 22 USD per hour(USA)
