This is an opportunity to support litigation teams by managing the retrieval and organization of critical medical documentation.
You’ll take ownership of records requests, working with healthcare providers to obtain complete and accurate files.
Your attention to detail will help identify treatment gaps, verify timelines, and prepare records for legal review.
You’ll manage multiple cases and deadlines while maintaining confidentiality and HIPAA-compliant practices.
The role combines case coordination, provider communication, administrative expertise, and technology-enabled workflows.

- Own the medical records retrieval process from request through completion, including identifying appropriate healthcare providers and obtaining complete records.
- Communicate with healthcare providers and internal stakeholders to coordinate requests, follow-ups, status updates, and outstanding documentation.
- Review medical records for completeness, identify gaps in treatment, and verify relevant dates and timelines.
- Organize and prepare accurate, litigation-ready files for subsequent case review and processing.
- Manage a high volume of cases simultaneously, prioritizing urgent requests and ensuring work remains accurate and on schedule.
- Maintain confidential medical information in accordance with HIPAA requirements and established privacy procedures.
- Use technology and cloud-based platforms such as ChartSwap, DataVant, Google Workspace, Slack, and Zendesk to manage requests and workflows efficiently.
- Troubleshoot retrieval challenges, resolve obstacles, and determine when issues require escalation.
- Collaborate across teams to ensure cases continue progressing smoothly and all documentation requirements are met.
- Contribute to efficient, reliable, and continuously improving records retrieval processes.
- 3+ years of experience in medical records, personal injury, legal support, or a related field.
- Strong organizational and time-management skills, with the ability to manage multiple cases, requests, and deadlines simultaneously.
- Exceptional attention to detail and a consistent commitment to accuracy and completeness.
- Excellent written and verbal communication skills, particularly when working with healthcare providers and internal teams.
- Familiarity with HIPAA, medical terminology, and/or litigation procedures is strongly preferred.
- Comfortable working with technology, software, and cloud-based applications; experience with ChartSwap, DataVant, Google Workspace, Slack, or Zendesk is a plus.
- Strong problem-solving skills and the ability to prioritize urgent matters while maintaining overall workflow organization.
- Quick learner who can confidently adopt new systems, tools, and processes.
- High level of integrity, discretion, and professionalism when handling confidential medical and legal information.
- Comfortable working in a fast-paced environment with shifting priorities and high expectations for follow-through.
- Availability to work Monday through Friday during Pacific Time business hours.
