This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Sponsor Relations Director (Events) based in the United States.
This is a player-coach leadership role overseeing sponsor and exhibitor relationships across a live events portfolio.
You will manage a book of sponsor accounts, including large and complex partners, while remaining closely involved in day-to-day execution.
The role owns sponsorship fulfillment from contract signature through post-event follow-up, ensuring deliverables, communications, and deadlines are consistently managed.
You will lead and develop a small Sponsor Relations team while serving as an escalation point for complex account and event issues.
The position works cross-functionally with sales, marketing, event operations, AV, registration, and external service partners.
You will also contribute to sponsorship reporting, process improvements, inventory management, and rebooking opportunities.
This is a fully remote opportunity with frequent travel to live events and extended on-site responsibilities.
The Sponsor Relations Director will combine hands-on account management with team leadership, ensuring sponsors receive a seamless experience and all contracted commitments are fulfilled accurately and on time.
- Supervise the Sponsor Relations team by assigning accounts and priorities, conducting weekly check-ins, and providing regular feedback.
- Train team members on processes, tools, and sponsor communications, and review key deliverables for accuracy.
- Serve as the first escalation point for sponsor issues and step in directly when an account requires additional support.
- Coordinate on-site coverage and responsibilities with event coordinators.
- Manage a portfolio of sponsors and exhibitors, including the largest and most complex accounts, from contract signature through post-event wrap.
- Conduct pre-event kickoff calls to confirm deliverables, deadlines, and success criteria, followed by post-event recaps.
- Collect and track contracted deliverables such as logos, advertising creative, session titles, and collateral.
- Coordinate sponsorship fulfillment with marketing and event operations teams.
- Onboard and train sponsor teams on exhibitor portals, lead retrieval, event apps, and meeting-scheduling tools.
- Maintain the master sponsorship planner covering contract terms, financial status, and fulfillment progress.
- Build and manage sponsorship toolkits through the Cvent exhibitor portal.
- Manage exhibit floor plans and booth assignments using floor plan software.
- Own sponsor and exhibitor communications before, during, and after events, keeping templates, checklists, and exhibitor manuals current.
- Document evolving processes and recommend improvements based on event results and lessons learned.
- Prepare weekly reporting on sponsorship pacing, fulfillment status, and outstanding issues for event leadership.
- Track sponsorship inventory by event, including sold, held, and available assets, and flag slow-moving inventory to sales and portfolio leaders.
- Lead the on-site rebooking process with portfolio leaders and communicate renewal opportunities and sponsor feedback to sales.
- Lead sponsor check-ins during events, maintain relationships with key accounts on the floor, and resolve issues in real time with operations, AV, and registration teams.
- Travel frequently, up to twice per month from February through November, generally for three to four days at a time and including extended on-site days.
The ideal candidate brings strong event operations and sponsor relationship experience, combined with leadership capabilities, exceptional organization, and the ability to manage multiple priorities in a fast-paced environment.
- Bachelor’s degree in hospitality, communication, or a related field.
- 5+ years of events experience in a client- or sponsor-facing role, including sponsor or exhibitor fulfillment.
- 2+ years of experience supervising, training, or leading others.
- Experience working with General Services Contractors.
- Experience with Cvent or other event management software and floor plan software.
- High-level proficiency with Microsoft Office, particularly Excel.
- Ability to manage multiple concurrent projects, solve problems, and consistently meet deadlines with minimal supervision.
- Excellent customer service skills and the ability to perform effectively in a high-pressure environment.
- Excellent written and verbal communication skills.
- Superior attention to detail and a strong commitment to accuracy.
- Ability to create, document, and improve procedures and processes.
- Strong organizational skills and a proactive approach to identifying and resolving issues.
- Willingness and ability to travel frequently for live events, including extended on-site days.
- Annual salary of $85,000–$95,000, depending on experience.
