Job Description

This position is located at our Montclair, NJ site and may travel to the site in Orange, ocassionally.

Montclair Chlid Development Center, Inc. (MCDC) is seeking a person to provide the necessary support to ensure that the program maintains full enrollment, serving the most needed children and families in the community. This position will initiate and coordinate the administrative functions required by MCDC for the effective implementation of the program's ERSEA policies, in line with Head Start Performance Standards (HSPS) and School District agreements. ERSEA stands for the Eligibility, Recruitment, Selection, Enrollment and Attendance processes.

Key Responsibilities
• Support the ERSEA Manager with all assigned tasks to ensure the Eligibility, Selection, and Enrollment process adheres to HSPS and MCDC policies and procedures.
• Develop and execute recruitment strategies in MCDC service area communities to maintain full enrollment and waitlist.
• Efficiently and accurately input all related data on Child Plus on a timely basis.
• Ensure timely follow-up on program inquiries and monitoring tracking systems for program, (telephone, electronic, and walk-in inquiries).
• Work in collaboration with Family and Community Engagement (FCE) and other service areas in promoting and coordinating recruitment activities to ensure ample wait list selection for all sites.
• Review of all applications received and work directly with families to ensure that all necessary enrollment/intake forms are complete
• Monitor Health and Nutrition staff to ensure that all necessary documentation are completed and clear at the time of enrollment.
• Determine the eligibility of children and families, ensuring that all family documentation are accurate and complete and children are enrolled based on selection criteria points.
• Maintain and update an accurate wait list of eligible children.
• Monitor children’s attendance records to ensure that children are ‘seated’ and maintain regular attendance.
• Maintain accurate up-to-date enrollment records to be shared with the Leadership Team members, and submit accurate enrollment numbers to the ERSEA Manager for monthly submission to ACF.
• Develop and maintain relations within the scope of the MCDC mission and goals
• Maintain community outreach/resources participation.
• Conduct regular file audits to ensure absolute compliance with federal regulations and MCDC internal policies

Qualifications
• Minimum Associate’s Degree in Family Services or related area. BA preferred.
• Bi-lingual preferred
• Possess a valid NJ driver's license
• Flexibility in working schedule and weekends
• Effective and professional oral and written communication.
• Clerical and administrative experience, with emphasis on record keeping, tracking, and contact with the public.
• Detail-oriented.
• Able to multitask and set priorities.
• Data-driven and well-organized.
• Proficient with computer technology (Microsoft Office, Google Suite, ChildPlus)
• Reliable and punctual.
• Demonstrates excellent telephone etiquette

Successtully complete a criminal background check, reference verifications and health clearance.
