Job Description
We are looking to hire an Executive Business Assistant to help ease the flow of operations!
In this role you will be responsible for communicating and coordinating calendars, meetings, and follow up items between many members of the leadership team. While also helping to maintain internal records, create and publish reports for leaders for review and follow up.
While reporting directly to the CEO, this role is designed to reduce inefficiencies between the leadership team and maintain high level business operations.
Qualifications
- Strong organizational skills and excellent attention to detail
- Ability to manage multiple priorities and keep track of many moving pieces
- Clear and professional written and verbal communication skills
- Comfortable using Microsoft Outlook, Teams, Word, Excel, and general business software
- Ability to draft professional emails, summarize information, and organize follow-up items
- Comfortable working directly with leadership while building strong relationships with vendors and other management members
- Ability to take initiative, anticipate needs, and follow through without constant direction
- Professionality and discretion while handling confidential information
- Reliable, friendly, hard working, and team oriented
- Comfortable with both business support and appropriate personal administrative support
- Valid driver’s license and reliable transportation required
- Must be able to successfully pass a criminal background check
- Ideal Candidate The ideal candidate is organized, discreet, proactive, and dependable
- This person should be able to help bring structure to a fast-moving environment
Responsibilities:
- Maintain calendars, meetings, and follow up items
- Communicate and coordinate with different members of the leadership team
- Create and analyze basic business reports
- Maintain physical/digital records as well as create and publish basic analytical reports for use by different levels of management
- Use company management software to help bridge gaps between members of the management team
- Monitor tasks, priorities, and follow up items to ensure timely completion
- Identify and resolve inefficiencies to maintain or improve operational efficiencies
