Job Description

GENERAL DESCRIPTION OF POSITION:

Responsible for developing, documenting, leading, monitoring and reporting the strategic work activities for all service management for corporate relocations, large scale logistics projects, and design and construction projects to ensure their timely completion, from the initial planning stages to the final execution stages. Position ensures that all strategic, technical, and tactical, activities and participants remain on schedule, budget, and task, and manages communication across all involved disciplines.

DUTIES AND RESPONSIBILITIES:

  • Synchronizes, documents, and plans strategic project scope of work and all deliverables from development through project closeout. Determines and approves business partner space and programming requirements, assists in communicating with design team for creating space plans and furniture specifications when necessary.
  • Lead and manage cross-functional teams, including movers, logistics staff, and other stakeholders. Ensure effective communication among all team members and contractors. Assign tasks and manage workloads to ensure project timelines are met.
  • Partners with design, architectural, furniture, construction partners, and client representatives to develop project design, concepts, scope of work, programming information budget and timeline. Strategically leads client team, business units, trades and related cross functional services through project conversations and documentation before, during and after physical project begins.
  • Determines and develops criterion to meet the client's service needs and requirements, create supporting visual plans when necessary. Partners with all required trades and service entities to assist in develop supporting project information and/or program direction.
  • Provide status reporting regarding project milestones, deliverable, dependencies, risks, and issues. Understand interdependencies between technology, operations, and business needs.
  • Manages multiple complex projects at one time with the ability to drive towards aggressive project schedules and goals.
  • Capable of coordinating the management of relocation of any required infrastructure, furniture and/or equipment for multiple Workspace Environments/Service Lines. Recommends and suggests Project Management, workplace standards and best practices. Works closely with all internal and external customers to ensure adherence to corporate space standards, building and municipal, state and federal building codes, and work environment policies. Verify the accuracy and approve of all client relocation and facility plans.
  • Works with project team to prepare and maintain project budget by collecting and managing all stakeholder information. Obtain and manage Purchase Orders process for all stakeholders. Review and provide input on all project related invoices. Assist the Pricing Desk, and Customer Service to prepare RFP's and review responses. Obtain pre-approval for all change orders. Work with the assigned Customer Service representative to track and communicate all change orders to the project team on an as-needed basis.
  • Negotiates with all affected parties to set timelines and communicates the completion of project phases.
  • Manages all vendors through the required steps to ensure successful completion through the punch list completion and ensures successful completion within agreed to budget and timelines including managing through contingencies and constraints.
  • Distributes appropriate documentation to project participants. Notifies and coordinates changes with appropriate internal and external groups. Schedules and completes final building walk-through with key stakeholders. Conducts follow-up reviews of all facilities upon completion of projects, ensuring business partners satisfaction. Capable of taking on multiple roles on the planning team based on project and customer needs. Communicates tactical activities and how they affect project status and schedules.
  • Recommends and explains software solutions to client and utilize client solutions: this may include several different types of project management software, including AutoCAD and CAFM solutions. Manage documents in collaboration tools such as SharePoint, Drop Box, etc. Develop and manage project schedule in Microsoft Project or other scheduling software. Advise all key stakeholders of changes with regard to project documents, process and schedule.
  • Perform other related essential duties assigned or requested.

Additional Requirements:

  • Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.
  • Understand and apply key project management math concepts for developing and managing budgets, calculating expected returns, and tracking Earned Value Management, Net Present Value, and Time Value of Money.
  • Working knowledge and ability to assist in development of all due diligence and scope required to develop Request for Proposals (RFP) and level bids based on established bid criteria for recommendation to stakeholders.
  • Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.
  • Considerable responsibility with regard to general assignments in planning time, method, manner, and/or sequence of performance of own work; may also occasionally assist in the planning of work assignments performed by others within a limited area of operation.
  • Understanding of moving logistics, including handling large and sensitive equipment, transportation, and scheduling.
  • Understanding of commercial facilities in various locations for standard building requirements, permitting, and code regulations as they apply to commercial projects.
  • Agile knowledge of various workplace environments including, but may not be limited to, commercial offices, hospitals, hotels, labs, production facilities, and warehouses.
  • Performs work operations which permit frequent opportunity for decision-making of minor importance and also frequent opportunity for decision-making of major importance; the latter of which would affect the work operations of other employees and/or clientele to a moderate degree.
  • Moderately structured. Fairly broad activities using moderately structured procedures with only generally guided supervision. Interpolation of learned things in somewhat varied situations.
  • Regular use of complex machines and equipment (desktop/laptop computer and software, production machines and equipment, etc.) to include intermediate experience in MS Office. AutoCAD experience is preferred.
  • Extensive contacts with various diversified sectors of the public environment; wherein, the contacts are of major importance and failure to exercise proper judgment can lead to substantial losses to the organization.
  • Continuous contacts frequently involving difficult negotiations which require a well-developed sense of strategy and timing. Involves contacts with senior level internal officials.
  • Travel: Regularly - 25% - 75%
