About This Position

Description:

This position will provide support, quality control and an additional layer of maintenance financial oversight for all on-site maintenance staff and facilities operations throughout Virginia. This position will report to the Director of Maintenance. This position will collaborate, and issue solve with the site team and Regional Property Manager to ensure all properties are properly maintained up to company standards and regulatory compliance.

Responsibilities

  • LMA for maintenance floaters
  • Responsible for hiring and managing Corporate Maintenance Floaters.
  • Vendor relationships
  • Assigned to a Vendor Committee to help maintain a log of approved vendors.
  • Regularly follow up with properties to make sure approved vendors are providing quality work in a timely manner.
  • Network to find additional vendors in all areas needed.
  • Quality Control oversight. Inspect paint, flooring, cleaning, and MRO installations in vacant ready units.
  • Reports, Analysis, Projects, Research
  • Assist the Director of Maintenance with developing preventative maintenance plans.
  • Reporting and analysis to measure maintenance KPIs and scorecard metrics.
  • Project work to include special assignments related to improving maintenance efficiency and cost control
  • Assist with maintenance-related due diligence for new acquisitions.
  • Assist with development of maintenance budget, including Capex
  • Recommend necessary major improvements and expenditures in collaboration with the site team to the Regional Property Manager and Director of Maintenance.
  • Assist the Maintenance Supervisor in establishing the maintenance-related expense sections of property budgets, including the short- and long-term capital, during the annual budgeting process.
  • Major contracts including insurance claims: Oversee scope, quality, and timeliness.
  • Bid, schedule, and manage major maintenance-related service contracts and complex contractor work, including insurance claims, within the assigned portfolio.
  • Assist in obtaining portfolio wide bids for contracts to aid in volume cost savings.
  • Monthly review of Maintenance Expenses
  • Perform a monthly review of Maintenance Expenses within the assigned portfolio to identify contractor expenses and areas of maintenance that are exceeding the allotted budget.
  • Review findings and recommendations with the property manager, supervisor, and RPM
  • Property inspections for adherence to company standards and regulatory compliance
  • Regularly inspect properties to ensure company standards and policies are met or exceeded on apartment turnovers, preventative maintenance, curb appeal, and service requests.
  • Inspect maintenance inventory logs for current inventory and report findings to site team and RPM for resolution of any identified issues.
  • Assist and mentor Maintenance Supervisors in understanding company maintenance policies and goals.
  • Ensure maintenance departments’ compliance with OSHA, EPA, and other applicable regulations.
  • Assist with the preparation for all regulatory compliance inspections, including pre-inspections.
  • On-the-job training for site maintenance staff
  • Assist in hiring, onboarding to include on-the-job training and development for on-site maintenance teams.
  • Provide coaching and mentorship to maintenance staff.
  • Act as a resource and be available for on-site team questions and concerns, both during business hours and for after-hours emergencies.
  • Assist on-site maintenance teams with complex projects or jobs.
  • Maint. Department Admin and General Support
  • Fill in and assist with on-site work during the absence or shortage of on-site team members.
  • Ensure pools are being adequately maintained during the season and are properly winterized when the season changes.
  • Maintain a report documenting concerns on each site and regularly report them to the RPM.
  • Instruct new Maintenance Supervisors in procedures for using the approved vendor’s list.
  • Make recommendations on which supplies to purchase and which suppliers to use to maximize special pricing agreements in place with suppliers.
  • Ensure Maintenance Supervisors understand the company’s contractor usage philosophy and instruct Maintenance Supervisors on Contract Administration policies.
  • Maintain open communications with the Corporate Office and Site Office staff.
  • All other duties as assigned.
Requirements:

Qualifications

  • Minimum of 5 years multifamily maintenance experience as a supervisor in a multi-site setting or similar position
  • Advanced technical knowledge and proficiency with HVAC, electric, and plumbing and ability to train others.
  • High school diploma or equivalent.
  • Valid driver’s license and good DMV record
  • CFC Refrigerant Certification in accordance with 40CFR Part 82, Subpart F.
  • CMM (Certified Manager of Maintenance) Certification, or ability to obtain within 3 months of employment.
  • AMRT certified, or ability to obtain within 1 year of employment.
  • CPO Certification or the ability to obtain within 6 months of employment.
  • REAC NSPIRE Training Certificate or the ability to obtain within 6 months of employment.
  • Ability to frequently travel between properties in Virginia.
  • Excellent human relations and communication skills
  • Must possess maintenance-related supervisory experience
  • Ability to organize and problem-solve effectively
  • Ability to exercise good judgment and self-control.
  • Ability to multitask
  • Enthusiasm, good attitude, trustworthiness, personal integrity, and honesty

PHYSICAL FUNCTIONS

Bending, kneeling, stretching, climbing stairs and ladders, squatting, and lifting up to sixty (60) pounds. Running and lifting over sixty (60) pounds.
