Description:

Position Summary:

The Seasonal Events and Guest Services Assistant is one of the front line points of contact for guests visiting the Ranch. It is therefore essential that they represent Anderson Ranch with a high level of integrity and professionalism, including organization, reliability and customer service. Because this individual will support events, guest services, and the Welcome Center, ability to maintain confidentiality, be efficient, and keep clear records are critical for this role, in addition to being flexible, organized, and a team player.

Core Responsibilities: Events (50%)

Event Execution:

  • Assist in executing events such as the Recognition Dinner, Annual Art Auction, Auctionettes, faculty receptions, private donor events, campus socials and associated functions.
  • Provide on-site support for day-of event logistics, attendee tracking, staffing, and breakdown of on and off-campus events.
  • Address event and attendee needs, greet and direct guests, manage check-in lists, and offer customer service when needed.
  • Conduct layout breakdowns, next-day setups, and reorganization/restocking of event products.
  • Manage post-event data, including documentation of attendance and debriefs for future event planning.

Planning & Communication:

  • Support planning and logistics for summer event programming.
  • Organize inventory, prepare campus locations, and coordinate event related materials for upcoming events.
  • Compile and send Weekly Briefing emails to keep the team informed.
  • Support on-campus auction storage and coordinate artwork for Auctionettes.

Core Responsibilities: Guest Services (50%)

  • Welcome Center / Guest Services: Greets visitors and maintains a welcoming, efficient Welcome Center during scheduled shifts. Provides general information to callers and guests, including details about workshops, events, gallery exhibitions, and other campus installations. Responds to and follows up on guest inquiries and requests. Assists with program participant housing by preparing welcome packets, supporting email communications, and addressing issues during their stay.
  • ArtWorks Store / Art Inventory: Supports daily operations of the ArtWorks Store by assisting customers, answering questions about merchandise, and processing sales. Helps receive, stock, and organize inventory, and maintains a clean and orderly store.
  • Administration Assistance: Contributes positively as part of a team, helping out with various administrative duties as required. Assists with daily mail drop off and pick up. Prepares and files forms and other documents. Supports other areas administratively including the cafe.
Requirements:

Expected Skills & Qualifications:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Good interpersonal skills with ability to fairly resolve disputes and complaints.
  • Ability to keep confidential information secure and private.
  • Ability to follow directions and strong follow through.
  • Flexibility to work occasional evenings and weekends to support event production.
  • Proficient with Microsoft Office Suite.
  • Eligibility as a Ranch driver (driver’s license and clear MVR check)

Physical Requirements:

  • The employee frequently is required to stand, walk, and reach with hands and arms.
  • Typical physical tasks include reaching, standing, sitting, typing, talking, crouching, kneeling, seeing, and hearing.
  • Sedentary work that can involve sitting/standing, working on a computer and phone calls.
  • Work that includes moving objects up to 40 pounds.
  • Typical tasks as required to actively work in art studios/facilities/offices in a historic building space with uneven surfaces, stairs, gravel walkways, etc.
