Contracts and Proposals Associate

This role sits at the center of commercial operations, supporting the development, review, and management of contracts and proposals within a fast-paced clinical research environment. You will play a key part in responding to customer RFPs, building accurate pricing and proposal documentation, and ensuring contract processes move smoothly from draft to execution. The position requires close collaboration with Sales, Legal, and cross-functional teams to ensure all agreements are compliant, accurate, and aligned with business objectives. You will also support data integrity across CRM systems and contribute to forecasting and reporting activities. This is a highly detail-oriented role that combines analytical thinking, contractual knowledge, and strong communication skills. Your work will directly support the delivery of clinical research solutions that accelerate medical innovation and improve patient outcomes.

Accountabilities

You will be responsible for supporting the full lifecycle of proposals and contracts, ensuring accuracy, compliance, and timely execution across all commercial documentation. Key responsibilities include:

  • Develop and prepare proposals, including text, pricing, and budgets in response to customer RFPs.
  • Build and revise budgets for contracts, RFPs, and change orders, ensuring accuracy and alignment with business requirements.
  • Maintain and update CRM systems (SFDC), ensuring data accuracy, approvals, discount tracking, and opportunity reporting.
  • Partner with Legal teams to coordinate contract development, including MSAs, Data Protection Agreements, and related documentation.
  • Support contract review, negotiation, and version management, ensuring all approvals and requirements are in place.
  • Facilitate contract execution by coordinating with customers to obtain signatures and support forecasting accuracy.
  • Collaborate with Sales, Customer Success, and Product teams to ensure alignment across commercial processes.
  • Monitor deadlines and prioritize workload to ensure timely delivery of proposals and contractual documents.
  • Support reporting, data tracking, and additional administrative or commercial tasks as needed.
Requirements

This role requires strong attention to detail, commercial acumen, and experience supporting contracts or proposals in a structured business environment. Candidates should have:

  • Bachelor’s degree in Legal, Life Sciences, Pharmacy, Business Administration, or related field (or equivalent experience).
  • 2+ years of experience in contracts, proposals, or sales operations, ideally within clinical or eClinical environments.
  • Strong proficiency in Salesforce (SFDC) and Microsoft Office tools.
  • Experience developing contracts, proposals, or pricing documentation (preferred).
  • Understanding of contract lifecycle management and basic negotiation principles.
  • Strong written and verbal communication skills with excellent attention to detail.
  • Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
  • Collaborative mindset with ability to work effectively across cross-functional teams.
  • Self-motivated, proactive, and able to work independently with a sense of urgency.
  • Prior experience in pharmaceutical or clinical research industries is a plus.
