Job Description

Job Title: Administrative Assistant

Reports To: General Manager
Position Type: Hourly, Non-Exempt

Position Summary

The Administrative Assistant supports the General Manager and location leadership team with daily administrative operations. This role is responsible for handling clerical tasks, managing documentation, and supporting financial processes such as bank deposits. The position plays a key role in keeping the location organized, compliant, and running efficiently.



Key Responsibilities

  • Prepare and complete daily bank deposits accurately and in a timely manner

  • Maintain and organize location documentation, including operational, compliance, and records

  • Assist with data entry, filing, and recordkeeping (digital and physical)

  • Support payroll-related documentation and timekeeping follow-up as needed

  • Track and maintain inventory logs, invoices, and vendor paperwork

  • Assist with onboarding paperwork and general administrative HR support

  • Communicate with corporate departments (HR, Payroll, Finance) as needed

  • Support the GM with scheduling coordination, reporting, and administrative follow-up

  • Ensure all documentation is audit-ready and compliant with company standards

  • Perform other administrative duties as assigned by the General Manager



Qualifications

  • Previous administrative or clerical experience preferred (hospitality or retail environment a plus)

  • Strong organizational skills and attention to detail

  • Comfortable handling cash processes and financial documentation

  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment

  • Proficient in Microsoft Office and/or basic computer systems (ADP experience a plus) Strong communication skills and ability to work with multiple departments

  • Adaptability: Adjusts to changing priorities and operational needs in a fast-paced airport environment Technical Proficiency: Utilizes systems such as ADP and Microsoft Office efficiently to support operations


. Physical Efforts:

  • Ability to sit for extended periods while performing administrative tasks

  • Frequent use of a computer, keyboard, and standard office equipment

  • Occasional standing, walking, bending, and reaching to retrieve or file documents

  • Ability to lift and carry items up to 25 pounds (e.g., deposit bags, office supplies, files)

  • Repetitive hand and wrist movements associated with typing and data entry

  • Ability to move between office and operational areas within the airport location

Mental Efforts:

  • High level of attention to detail required for financial accuracy, documentation, and compliance

  • Ability to prioritize and manage multiple tasks in a fast-paced environment with competing deadlines

  • Strong problem-solving skills to address discrepancies in deposits, records, or administrative processes

  • Ability to maintain focus and accuracy despite frequent interruptions

  • Exercise of sound judgment and discretion when handling confidential employee and financial information

  • Effective communication and coordination with multiple departments (operations, HR, payroll, finance)

  • Ability to adapt quickly to changing priorities and operational needs

  • Must be able to pass TSA background check to receive airport badge
