Position Overview

The Surgery Scheduling Counselor serves as the primary liaison between patients, surgeons, referring physicians, and surgical facilities, ensuring seamless pre-operative preparation and scheduling. This role blends patient-centered education with strong consultative guidance to support patients in understanding and confidently moving forward with recommended surgical care.

The Surgery Scheduling Counselor plays a critical role in surgical case acceptance, patient education, and timely scheduling. Success in this role is measured by surgical conversion rates, scheduling timeliness, patient satisfaction, and effective follow-up on pending cases.

The ideal candidate is compassionate, confident, and comfortable guiding patients through medical and financial discussions while helping them make informed decisions about their vision and surgical options.

Job Responsibilities

  • Acts as an effective liaison between the patient, surgeon, referring physician, and the surgical facility in all aspects of pre-operative preparations.
  • Provides comprehensive education to patients regarding surgical recommendations, refractive options, premium lens upgrades, expected outcomes, and post-operative care.
  • Presents financial information clearly and professionally, including insurance benefits, refractive upgrades, and out-of-pocket responsibilities.
  • Utilizes consultative communication skills to address questions, reduce hesitation, guiding patients toward informed surgical decisions.
  • Proactively works to secure surgical commitment and schedule procedures in a timely manner.
  • Conducts structured follow-up with patients who have not yet scheduled to ensure continuity of care and optimize case acceptance.
  • Maintains accurate documentation of patient interactions, decision status, and follow-up efforts.
  • Schedules all patient surgeries and pre/post-operative appointments.
  • Verifies insurance coverage for consultations and surgical procedures.
  • Prepares surgical documentation and coordinates with surgery centers.
  • Contact patients prior to surgery to confirm readiness and reinforce education.

Performance in this role will be evaluated based on:

  • Surgical conversion/case acceptance rate
  • Timeliness of scheduling after recommendation
  • Follow-up effectiveness on pending surgical candidates
  • Accuracy of documentation and insurance verification
  • Patient satisfaction and experience feedback
  • Contribution to overall refractive cataract growth goals

Requirements:

Qualifications

  • High School Diploma required, associate’s degree preferred
  • Minimum 2+ years of experience in healthcare coordination, medical counseling, surgical scheduling, or consultative sales strongly preferred
  • Knowledge of refractive, cataract, elective surgery, cosmetic or procedure-based environments highly desirable
  • Comfortable discussing financial responsibility and premium surgery options with patients
  • Proven ability to meet or exceed performance goals and measurable metrics
  • Knowledge of ophthalmic surgical procedures preferred
  • COA certification highly preferred

Physical Requirements

  • Ability to sit and stand for prolonged periods of time
  • Ability to occasionally lift and move equipment or related peripherals weighing up to 25 pounds
