Assistant/Associate Director of Advancement

Performance Profile

Position Summary:

The Assistant/Associate Director of Advancement is a benefits-eligible, full-time 12-month position that works within the Office of Advancement and reports directly to the Director of Advancement. The standard work schedule is Monday through Friday 7:30am – 4:00 pm, with flexibility as approved by supervisor and the Head of School. This position includes 10 vacation days and 10 PTO days annually.

The primary goal of the Assistant/Associate Director of Advancement is to cultivate and steward constituent relationships, including leading the Annual Fund and supporting the Capital Campaign. The focus of this role is primarily in the areas of annual fundraising, Alumni relations, to maintain The Fay School’s donor database, and to offer event support. The Assistant/Associate Director of Advancement works with other staff to manage and support various activities, projects, and areas of the school that fall under the umbrella of advancement.

Essential Duties and Responsibilities:

Primary responsibilities include leading the strategy and execution of the Annual Fund, Corporate Partner program, and holiday gift funds, along with supporting other annual fundraising initiatives. This role also owns and manages the advancement database, contributes to special events, and supports the overall advancement efforts at Fay.

  • Annual Fund: Lead the strategy, planning, and execution of the established five-week annual fund program. Recruit, support, and manage a robust volunteer team, and partner with the Advancement Associate to design and implement donor appreciation and engagement opportunities.
  • Corporate Partners: Oversee and grow the Corporate Partner program, developing and stewarding relationships in collaboration with the Director of Advancement.
  • Holiday Gift Funds: Plan and execute two annual holiday gift fund initiatives (December and May), ensuring strong participation and alignment with broader advancement goals.
  • Alumni Relations: Strengthen relationships with The Fay School’s alumni by developing and expanding meaningful opportunities for connection, engagement, and participation in the life of the school.

Database Management: Maintain donor database (Raiser’s Edge) and prepare gift acknowledgments, solicitation mailings, constituent and fundraising reports for all fundraising activities (Annual Fund, Campaign, Backyard Bash/Gala, and Holiday Gift Funds).

  • Maintain constituent records by modifying, adding, or deleting records as necessary
  • Record and monitor donations
  • Confirm gifts for matching gift donations
  • Prepare gift acknowledgment letters in a timely manner
  • Generate pledge reminders
  • Develop gift reports for received and pledged gifts as needed
  • Complete bulk uploads of event attendance and other development-related activities
  • Enhance and maintain database quality and improve the efficiency of the overall system
  • Generate mailing lists as needed
  • Generate tax acknowledgement letters as requested

In addition to the above, the Assistant/Associate Director of Advancement will:

  • Team with the Director of Advancement to support all Advancement functions on such as special event support at Annual Fund events, annual Spring Gala/Backyard Bash, and Graduation.
  • Work to establish and cultivate relationships with all Fay families
  • Serve as a member of the Advancement Team
  • Be willing and able to routinely and appropriately use personal smartphone to utilize school apps to communicate, collaborate, and fulfill responsibilities as outlined in this Performance Profile.
  • Perform other duties as assigned by the Head of School
  • Support the school and its leadership and be an ambassador of our mission

Qualifications:

  • Bachelor’s degree required.
  • Experience in Raiser’s Edge preferred.
  • Proficiency with MS Office 365, One Note and Teams preferred.
  • Proficiency with MS Outlook, Word & Excel required.
  • Experience working within a school setting preferred.
  • Ability to produce detailed accurate work and reports in a timely manner.
  • Ability to establish effective working relationships with other faculty, staff, vendors, students, and parents.
  • Ability to maintain orderly comprehensive records.
  • Ability to maintain physical and digital confidential records securely.
  • Ability to work well independently (self-starter) and in a team.
  • Ability to manage multiple projects simultaneously.

Physical Requirements and Work Environment:

  • Ability to perform essential physical tasks, including sustained standing and walking; navigating stairs, uneven surfaces, and outdoor terrain; kneeling; lifting and carrying up to 20 pounds; and actively monitoring children and the immediate environment both visually and audibly. Must be able to provide clear, audible instructions that can be understood by English speakers in a potentially loud environment
  • Ability to work both indoors and outdoors in varying environmental conditions, including exposure to heat, cold, rain, humidity, and uneven or natural ground surfaces such as playgrounds, fields, and walkways.
