We have an immediate opening for Administrative Assistant in the Iowa City area.

This position is a day shift position with NO weekends.

Position Summary

The Administrative Assistant provides essential administrative support by managing front desk operations, including greeting visitors, coordinating confidentiality agreements, and ensuring a welcoming environment. Key responsibilities encompass handling mail processes, from assigning postage and preparing outgoing mail to sorting, and distributing incoming correspondence. The position oversees office supply management, including procurement and restocking, and ensures correct processing of accounts payable invoices. Additional duties include preparing admission packets and conducting critical compliance checks such as physician license verifications.

Position Responsibilities

  • Greets visitors and patients and notifies proper staff of arrival.
  • Obtains signatures on confidentiality forms for non-employed personnel working in clinical areas.
  • Open the reception area at 8 a.m. and secure the reception area at the end of shift.
  • Assigns correct postage to outgoing mail.
  • Assures mail is ready for pick up by 10:30 a.m. daily.
  • Sorts and distributes incoming mail.
  • Create stamps and labels for other users.
  • Processes incoming checks and transfers payments to cash poster.
  • Determine office supply needs, including ordering and stocking supplies when delivered.
  • Accounts Payable invoice matching and price checking.
  • Create new patient admission and new employee onboarding packets.
  • Updates CITUS scheduler with new appointments, deliveries, and teaches.
  • Perform physician license verification.
  • Review SAM and OIG files monthly.
  • Provides Staples office supply breakdown.
  • Match fuel receipts.
  • Assist social committee with events and food orders.
  • Back-up on local deliveries.
  • Other duties as assigned.

Education and Experience Requirements

  • High school diploma/GED.
  • Valid driver’s license.
  • Proof of auto liability insurance.

Desired Qualifications and Experience

  • Healthcare experience preferred.
  • Previous experience as an administrative assistant or similar role.

Required Skills and Abilities

  • Excellent telephone and communication skills.
  • Demonstrated ability to manage multiple tasks simultaneously and meet deadlines.
  • General computer literacy and ability.
  • Working knowledge of common office equipment.
  • Strong organizational skills necessary to manage several projects simultaneously, and the ability to collaborate cooperatively with coworkers and the community at large.
  • Demonstrated ability to type with minimal error.

Physical Requirements

These physical demands are representative of those that must be met by an employee to successfully perform the essential functions of the job.

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift 20 lbs.

Additional Eligibility Requirements

  • Successful completion of a background check.
  • Successful completion of reference checks.
  • Proof of eligibility to work in the United States.

Expected Work Hours and Location

Generally, 8:00 am to 5:00 pm with occasional nights and weekends. Days and hours are subject to change with notice.
