Purchasing Agent
Position Summary:
The Purchasing Agent is responsible for managing the procurement of materials, equipment, parts, and services to support the organization’s operational and business needs. This position works closely with suppliers, vendors, internal departments, and management to ensure purchases are made efficiently, cost-effectively, and in accordance with company policies and quality standards. The ideal candidate will have strong organizational and communication skills, attention to detail, sound judgment, and the ability to build and maintain effective supplier relationships while ensuring timely availability of required materials and services.
Essential Duties and Responsibilities:
- Follow all company safety policies, procedures, and PPE requirements.
- Review purchase requests and verify item specifications, quantities, pricing, and availability.
- Check ERP and warehouse inventory before purchasing materials.
- Research suppliers and obtain competitive pricing, quality, and delivery information.
- Create and manage purchase orders through the ERP system.
- Communicate with suppliers regarding orders, pricing, delivery dates, quality issues, and non-conforming materials.
- Monitor and resolve purchasing and delivery issues, escalating significant concerns to the Purchasing Manager.
- Establish and maintain supplier relationships and complete required new-vendor approval processes.
- Prepare purchasing, inventory, pricing, delivery, and transfer reports using the ERP system.
- Perform cycle counts, investigate inventory discrepancies, and help maintain accurate inventory records.
- Assist with competitive bids and supplier selection as directed by the Purchasing Manager.
- Work with other departments, including Shipping & Receiving, to support operational needs.
- Identify opportunities to reduce costs, improve supplier performance, and increase purchasing efficiency.
- Provide responsive and professional service to internal customers and coworkers.
- Prioritize work, manage multiple requests, meet deadlines, and adapt to changing needs.
- Use sound judgment, problem-solving skills, and attention to detail to resolve issues and maintain accuracy.
- Support continuous improvement and contribute ideas to improve purchasing and inventory processes.
Qualifications:
- One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
- Prior experience working with Microsoft software.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of organization.
