OVERVIEW
The Front Desk Associate is a primary point of contact for IMA patients and supports a smooth, professional patient experience from scheduling through check-out. The role manages registration, phones, appointments, basic insurance information, payments, and front-office communication while protecting patient privacy.
ESSENTIAL RESPONSIBILITIES
- Greet patients and visitors promptly, professionally, and respectfully.
- Complete patient check-in and check-out, verify demographic information, and obtain required forms and signatures.
- Schedule, confirm, reschedule, and cancel appointments in accordance with provider templates and practice protocols.
- Answer incoming calls, route messages accurately, and respond to routine questions within role scope.
- Verify or update insurance information and assist with basic eligibility, referral, and authorization workflows as assigned.
- Collect copayments, balances, and other patient payments and follow established cash-handling procedures.
- Maintain accurate EHR/practice-management documentation and scan or route records appropriately.
- Coordinate with clinical staff to communicate delays, urgent concerns, schedule changes, and patient needs.
- Maintain front-desk organization, confidentiality, and HIPAA compliance at all times.
EDUCATION, LICENSURE & EXPERIENCE
- High school diploma or equivalent required.
- Prior medical-office, reception, scheduling, or customer-service experience preferred.
- Experience with EHR/practice-management systems and insurance terminology preferred.
- Basic computer, telephone, data-entry, and payment-processing skills required.
