Job Description

POSITION SUMMARY:

We are seeking a PMO Manager to lead our Project Management Office and oversee a team of Project Managers. This leader will establish consistent project management practices, guide project execution, and help teams deliver on business priorities.

The PMO Manager will work closely with R&D, Operations, Implementation, and Technical Support to align plans, manage dependencies, resolve delivery challenges, and ensure effective transitions from development through implementation and ongoing support. The ideal candidate combines strong people leadership with practical project management expertise and the ability to build productive relationships across teams.

DUTIES AND RESPONSIBILITIES:

Key Responsibilities

Team Leadership

  • Manage, coach, and develop Project Managers, setting clear expectations for performance, accountability, and professional growth.
  • Assign projects and balance workloads based on business priorities, project complexity, and team capacity.
  • Support Project Managers in resolving issues, managing stakeholder expectations, and escalating decisions when needed.
  • Build a collaborative team culture focused on ownership, transparency, and continuous improvement.
  • Project and Portfolio Oversight

    • Oversee the project portfolio to ensure projects have clear scope, realistic schedules, appropriate resources, and measurable success criteria.
    • Monitor delivery milestones, budgets, risks, and dependencies, helping teams address issues before they affect commitments.
    • Partner with department leaders to prioritize initiatives and resolve competing demands for resources.
    • Provide leadership with clear reporting on portfolio health, delivery forecasts, and decisions requiring attention.

    Cross-Functional Collaboration

    • Partner with R&D to align project plans with product roadmaps, technical requirements, development capacity, and release readiness.
    • Coordinate with Operations to ensure operational requirements, resource needs, and readiness activities are incorporated into project plans.
    • Collaborate with Implementation to support deployment planning, customer readiness, and successful project delivery.
    • Work with Technical Support to ensure support readiness, knowledge transfer, documentation, and effective handoffs after implementation.
    • Facilitate cross-functional planning and issue resolution, clarifying responsibilities and securing agreement on commitments.

    PMO Governance and Continuous Improvement

    • Establish and maintain practical project management standards, tools, templates, and reporting practices.
    • Define clear processes for project intake, planning, change control, risk management, escalation, and closure.
    • Track performance measures such as milestone predictability, budget performance, resource capacity, and stakeholder satisfaction.
    • Lead project reviews and lessons-learned discussions, turning findings into improvements in delivery practices.
    • Adapt governance to project size and complexity while maintaining visibility and accountability.



    JOB SPECIFICATIONS:

    Education Required:

    A Bachelor’s Degree in Business Management, Computer Science, or a healthcare-related field is desired. A minimum of an Associate’s degree in a related field is required as a minimum. A PMP certification is required or may be substituted by equivalent experience.

    Experience Required:

    • Five or more years of progressive project or program management experience, including two or more years leading Project Managers or a project management function.
    • Demonstrated success managing multiple projects with cross-functional teams and competing priorities.
    • Experience working with technical development, operations, implementation, or support teams.
    • Strong understanding of project planning, resource management, budgeting, risk management, and change control.
    • Ability to influence stakeholders, resolve conflicts, and communicate clearly with technical teams and senior leadership.
    • Experience using project and portfolio management tools to support planning, collaboration, and reporting.
    • Bachelor’s degree in business, technology, engineering, or a related field, or equivalent practical experience.

    Preferred Qualifications

    • PMP, PgMP, or a comparable project management certification.
    • Experience establishing or improving a PMO.
    • Familiarity with Agile, Waterfall, and hybrid delivery approaches.
    • Experience managing customer-facing implementations and transitions to ongoing support.
    • Experience leading organizational change and improving cross-functional processes.

    Travel Required:

    Occasional travel (up to 30%), both domestic and international, is required.
