Marketing Operations Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Marketing Operations Specialist based in United States.

This is a hands-on marketing operations role responsible for keeping multiple campaigns, events, launches, and partner deliverables moving smoothly. You’ll manage the day-to-day operating rhythm of a fast-paced marketing function while also building, executing, and monitoring campaigns. The role spans project coordination, marketing automation, database management, event support, vendor follow-through, and reporting. You’ll work across design, content, social, video, community, paid media, and leadership to ensure work is delivered accurately and on time. Initially reporting directly to the CEO, you’ll have meaningful influence over how marketing processes and systems evolve during an important period of growth. This opportunity is ideal for a highly organized, proactive operator who enjoys bringing structure to complexity and turning established frameworks into reliable execution.

Accountabilities:
  • Maintain the marketing project board in ClickUp, ensuring campaigns, events, launches, and deliverables have clear owners, deadlines, and status updates.
  • Run weekly marketing check-ins, identify work that is on track, delayed, or blocked, and proactively follow up to keep projects moving.
  • Coordinate deliverables across design, video, content, community, and social teams, ensuring contributors have the information and resources needed to meet deadlines.
  • Identify potential risks early and communicate upcoming delivery issues before they become critical.
  • Build, proof, schedule, and send email campaigns and monthly newsletters.
  • Create and maintain landing pages, forms, lists, and workflows supporting events, content downloads, demos, and other campaigns.
  • Maintain marketing database hygiene, including list management, suppressions, unsubscribes, bounces, segmentation, and workflow routing.
  • Ensure leads are correctly captured, categorized, routed, and delivered to the appropriate teams and workflows.
  • Support conference and event execution by preparing registration assets, lead forms, landing pages, lists, and post-event follow-up sequences.
  • Coordinate vendor timelines for event materials, promotional items, printing, and booth assets to ensure everything is delivered on schedule.
  • Process event-generated leads into the CRM within the appropriate timeframe and ensure they are correctly tagged.
  • Track partner obligations and contracted deliverables, ensuring materials and placements are completed on time.
  • Maintain company profiles across partner and directory platforms and assist with managing external marketing placements.
  • Support recurring communication and reporting with the paid media agency, following up on deliverables and performance updates.
  • Monitor partner and vendor relationships and proactively flag communication gaps or potential issues.
  • Compile and distribute recurring marketing performance metrics, including email engagement, paid media results, form conversions, and event lead volume.
  • Establish simple, repeatable reporting processes that give leadership clear visibility into marketing performance without requiring constant follow-up.
  • Use AI-powered tools such as ChatGPT or Claude to improve productivity, streamline workflows, and accelerate day-to-day marketing execution.
Requirements
  • 2+ years of experience in marketing operations, project coordination, campaign management, or a comparable role involving multiple simultaneous workstreams.
  • Demonstrated ability to take projects from initiation through completion, with strong ownership and follow-through.
  • Strong organizational skills and the ability to manage several unrelated campaigns, deadlines, and stakeholders without losing attention to detail.
  • Comfortable taking direction, asking thoughtful questions, making decisions independently, and determining next steps with limited supervision.
  • Demonstrated expertise with HubSpot and ClickUp.
  • Familiarity with tools such as Typeform, Zoom, or Stadium is a plus.
  • Strong written communication skills, particularly in asynchronous environments such as Slack and project management platforms.
  • Proactive and persistent follow-up style, with the ability to keep colleagues, vendors, agencies, and partners accountable while maintaining positive working relationships.
  • Comfortable working in a fast-moving environment where priorities can shift and processes may need to be improved along the way.
  • Daily fluency with modern AI tools such as ChatGPT or Claude and an understanding of how to apply them effectively to marketing operations.
  • Real estate industry experience, including experience as a real estate agent, is a strong advantage but not required.
  • Ability to work independently in a fully remote environment while collaborating effectively across functions.
  • Strong attention to detail, practical problem-solving skills, and a methodical approach to execution.
