This role provides high-touch, proactive support to 3–4+ senior Marketing leaders in a fast-paced, highly cross-functional environment. You will manage complex executive calendars, travel, communications, and competing priorities while protecting leadership focus and maximizing their impact. Working closely with a Chief of Staff and fellow Executive Assistants, you will help create seamless executive coverage and coordinated team operations. The role combines exceptional organization and judgment with opportunities to improve processes, meeting rhythms, and administrative workflows. You will also support high-visibility leadership meetings, offsites, and team events. Success requires discretion, resourcefulness, adaptability, and the ability to anticipate needs before they arise.
- Manage complex, high-volume calendars, travel arrangements, and incoming and outgoing meeting requests for 3–4+ Marketing Vice Presidents, proactively resolving conflicts and prioritizing time around the highest-impact business needs.
- Partner with the Chief of Staff and other Executive Assistants to coordinate executive coverage, align on priorities, share best practices, and maintain seamless support during absences or periods of increased workload.
- Coordinate All Team meetings, AMAs, leadership meetings, planning sessions, offsites, and other high-visibility programs, including agendas, logistics, speakers, content collection, and run-of-show support.
- Process expense reports, purchase orders, invoices, vendor payments, and other administrative financial workflows with accuracy, timeliness, and appropriate attention to detail.
- Handle confidential information, executive communications, and high-priority requests with discretion, professionalism, sound judgment, and a strong understanding of organizational sensitivities.
- Identify and implement improvements to administrative processes, communication practices, meeting rhythms, and operating procedures that create greater efficiency across the Marketing organization.
- Serve as a trusted representative of senior leadership by creating thoughtful, professional, and seamless experiences for employees, customers, partners, vendors, and other external contacts.
- Bring 3+ years of experience as an Executive Assistant, senior administrative professional, or equivalent coordinator, including direct support for VP, SVP, or C-suite leaders in a fast-paced, high-growth, or complex organization.
- Have experience supporting multiple senior leaders simultaneously, ideally a portfolio of 3–4+ VP-level executives, while managing multiple time zones, competing priorities, complex calendars, frequent travel, and high-stakes meetings.
- Demonstrate strong executive support skills, including calendar management, travel coordination, meeting preparation, stakeholder prioritization, and the ability to anticipate conflicts and protect executive focus time.
- Be comfortable acting as a trusted partner and strategic gatekeeper, exercising independent judgment and making thoughtful decisions with minimal direction.
- Have experience collaborating within an Executive Assistant team, coordinating coverage, communicating effectively, and maintaining consistent support across an executive portfolio.
- Bring experience coordinating leadership meetings, company-wide meetings, offsites, customer events, and other high-visibility virtual, hybrid, and in-person programs.
- Demonstrate exceptional discretion when handling confidential organizational, people, financial, and business information, along with strong written and verbal communication skills.
- Have experience with expenses, purchase orders, invoices, vendor payments, and other administrative financial processes.
- Be highly organized, proactive, resourceful, adaptable, and calm under pressure, with the ability to operate effectively when priorities shift or requirements are ambiguous.
- Be proficient in Google Workspace and comfortable learning and using evolving AI tools and technologies.
- Hold a bachelor's degree or equivalent relevant experience, and be able to support occasional needs outside core business hours and periodic travel for team events or offsites.
- Ideally be based in the Boston area or elsewhere on the East Coast with the ability to travel to the office for key leadership meetings, onsite events, and other important gatherings.
- Experience with software, technology, or other high-growth environments is valuable, as is a strong commitment to collaborative, inclusive, and people-first workplace experiences.
- Annual cash compensation ranging from $79,900 to $119,900 USD, with individual packages tailored to skills, experience, qualifications, and other job-related factors.
- Eligibility for equity through restricted stock units (RSUs) may be available depending on the role, alongside applicable annual bonus or commission opportunities.
