- High school diploma or equivalent required; associate degree or administrative certification preferred.
- At least one year of receptionist, administrative assistant, customer service, or related experience preferred.
- Exceptional customer service skills and the ability to create a positive experience for visitors and employees.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and the ability to interact professionally with individuals at all levels of the organization.
- Excellent organizational and time-management skills with the ability to manage multiple priorities.
- Strong attention to detail and a high level of accuracy.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Ability to handle confidential information with professionalism, discretion, and sound judgment.
- Ability to work independently while contributing effectively in a team environment.
In this role, you will
- Greet and assist visitors, clients, residents, vendors, and employees in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls and take messages as needed.
- Coordinate visitor check-in procedures and notify employees of guest arrivals.
- Receive, sort, and distribute mail, packages, and courier deliveries.
- Maintain accurate company directories, contact lists, and office records.
- Ensure the reception area, conference rooms, kitchen, and common areas remain clean, organized, and presentable.
- Monitor inventory levels and order office, kitchen, and breakroom supplies as needed.
- Provide administrative support, including data entry, filing, document preparation, scanning, and scheduling.
- Assist Human Resources with onboarding activities, employee communications, and special projects.
- Respond to routine inquiries from employees, residents, and vendors and direct more complex requests to the appropriate department.
- Coordinate conference room reservations and assist with meeting preparation and hospitality needs.
- Maintain the confidentiality, integrity, and accuracy of company records, documents, and sensitive information.
- Support company events, employee engagement initiatives, and office activities as needed.
- Collaborate across departments to support smooth day-to-day office operations.
- Perform additional administrative and operational duties as assigned.
