We’re seeking a Purchasing Specialist to support WARE’s purchasing operations by coordinating purchase orders, managing vendor communication, monitoring orders, and supporting inventory replenishment. This role partners closely with Project Management, Accounting, Sales, Service, Operations, and other departments to ensure purchasing needs are met accurately and on time.
Key Responsibilities:
- Create and process purchase orders for sales orders, job requisitions, stock replenishment, and other approved purchasing needs
- Create and manage Sub POs, communicating with Project Managers and Accounting regarding status and updates
- Place stock replenishment orders based on established reorder points and inventory needs
- Communicate with vendors to obtain order acknowledgments and confirm pricing, quantities, and lead times
- Monitor open orders and follow up on delayed or outstanding items
- Update POs to reflect changes in pricing, quantities, lead times, freight, or other order details
- Communicate purchasing updates, changes, and potential issues to appropriate internal departments
- Partner with internal teams to understand and fulfill purchasing needs
- Maintain accurate purchasing records and documentation
- Resolve routine purchasing discrepancies and escalate issues when needed
- Build positive, professional relationships with vendors and internal customers
- Follow established purchasing processes, approval requirements, and internal controls
- Identify opportunities to improve purchasing process, accuracy, and communication
- 3+ years' experience in purchasing, procurement, inventory, or order management preferred
- Strong attention to detail, organization, and follow-through
- Excellent communication and relationship-building skills
- Ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office, particularly Excel
- Ability to learn and effectively use purchasing and inventory systems
- Strong problem-solving skills and a proactive approach
- Ability to work independently and collaborate effectively across departments
- Industrial, manufacturing, construction, or technical experience is a plus
Position Details
- Full-time, hourly, in-office position, Monday–Friday, 8:00 a.m.–4:30 p.m
