Position Summary

The Grants & Compliance Manager leads grant financial management, billing, financial reporting, and grant receivables reconciliation for Alternatives for Girls (AFG). Reporting directly to the Vice President of Finance, this position coordinates with the Controller to ensure accurate grant accounting and timely month-end close. The role reviews payroll cost allocations charged to grants and serves as a trained backup for payroll processing when needed; it does not own or routinely manage the payroll function.

Grant Financial Management, Reporting and Billing

Manage timely, accurate grant billings, reimbursement requests, drawdowns, and financial status reports in accordance with funder requirements.

Maintain grant-level schedules comparing approved budgets, actual expenditures, billings, cash receipts, and remaining balances.

Review grant expenses for allowability, appropriate coding, approved allocations, and compliance with grant agreements and Uniform Guidance.

Coordinate with program staff, Development, and funders regarding budgets, amendments, reporting deadlines, and financial documentation.

Identify billing discrepancies, missed reimbursements, unbilled receivables, and overspending; escalate risks promptly to the Vice President of Finance.

Grant Receivables and Month-End Coordination

Reconcile grant billings, reimbursement requests, payments, and outstanding receivables to grant schedules and the general ledger in collaboration with the Controller.

Provide grant receivable aging, supporting schedules, revenue recognition information, and reconciliation documentation for month-end close.

Research and resolve variances with the Controller while preserving the Controller’s responsibility for the general ledger and financial statement close.

Payroll Allocations and Backup Coverage

Review and validate payroll allocations to grants against approved budgets, staffing assignments, and supporting records; coordinate corrections with HR and the payroll owner.

Serve as designated backup for payroll processing only when the primary payroll administrator is unavailable or when specifically assigned, following established HR approvals, controls, and deadlines.

Maintain sufficient payroll system knowledge and cross-training to provide continuity without assuming ongoing payroll oversight or primary payroll ownership.

Compliance, Audit and Process Improvement

Maintain complete, audit-ready grant billing, reporting, allocation, and reconciliation records.

Support annual financial statement audits and Single Audit requests relating to grants.

Develop and maintain grant billing calendars, procedures, internal controls, and standardized reporting tools.

Support the transition to Sage Intacct and improvements in grant accounting workflows.

Collaboration and Other Duties

Work directly with the Vice President of Finance on grant priorities, risk reporting, and process improvements.

Partner with the Controller, HR, Development, and program leadership to ensure consistent and accurate financial information.

Perform other duties and responsibilities as required or assigned by the Vice President of Finance to support departmental and organizational objectives.

Qualifications

Bachelor’s degree in Accounting, Finance, or related field required.

Three to five years of relevant experience, preferably in nonprofit grant accounting.

Demonstrated experience in grant billing, financial reporting, reconciliations, and federal grant compliance.

Working knowledge of payroll allocations and payroll systems (such as ADP); ability to provide trained backup coverage.

Proficiency with accounting software, spreadsheets, and grant management systems; ERP experience preferred.

Strong analytical, organizational, communication, and internal control skills.

Core Competencies

Accountability; accuracy; cross-functional collaboration; sound judgment; confidentiality; deadline management; commitment to AFG’s mission.
