Overview of the Role:
Our clients rely on us to fiercely protect their intellectual property. We seek a Coordinator for our Special Investigations Unit (SIU) to serve as the operational backbone of a globally distributed investigative team. The ideal candidate is exceptionally organized, an outstanding communicator in English, and adept at coordinating priorities in a fast-paced, high-energy environment. The successful candidate will function as the primary liaison for internal and external requests, ensuring team focus and the smooth delivery of our global, highly curated investigative services.
Essential Duties and Responsibilities:
- Monitor and manage 2 centralized mailboxes, ensuring timely and professional responses to requests from internal teams and clients across multiple time zones.
- Facilitate the intake and triage of new investigations, collecting critical information such as authorized cost, case- or client-specific requirements, and deadlines.
- Maintain our dynamic investigations planning calendar, aligning assignments with client goals, team capacity, and shifting priorities.
- Collaborate with the Client Solutions and Client Success teams and contribute input to client proposals related to online investigations.
- Provide first-level review and coordination of incoming requests to ensure enhanced investigative efforts are appropriately directed within the global online investigations team, while seamlessly redirecting other inquiries to the most suitable teams.
- Work closely with the Associate Director and Senior Investigators to anticipate resource needs, coordinate case kickoffs, and ensure readiness for investigative projects.
- Represent the team in relevant internal operational meetings, advocating for the team’s priorities and communicating updates and action items.
- Participate in client meetings alongside the Client Success team and Senior Investigators to gather requirements for upcoming investigations and present findings of concluded investigations.
- Lead internal team coordination meetings to ensure all investigations stay on track for delivery.
- Systematically gather feedback from team members and cross-functional stakeholders to continuously refine operational processes and provide tailored support.
- Assist the team in delivering high-quality reports by providing support with formatting, proofreading, and other activities that promote clarity, consistency, and professional excellence.
What You’ll Bring:
The ideal candidate will be a proactive, solution-oriented professional motivated by the mission of intellectual property protection. The successful candidate will thrive if they have the following qualifications and experience:
- Minimum of 2 years of experience in a coordinator, operations, or project support role, with demonstrated responsibility for managing communications and planning, preferably in a legal, investigative, consulting, or similar fast-paced environment.
- Experience working with intellectual property protection teams is preferred.
- Exceptional organizational skills, with a proven ability to manage competing tasks and deadlines.
- Excellent written and verbal communication skills in English. Proficiency in additional languages is highly valued.
- Experience supporting teams and stakeholders across multiple countries and time zones.
- Ability to work autonomously and collaboratively, balancing independent initiative with appropriate judgment on when to escalate.
- Integrity, discretion, and a commitment to the ethical handling of sensitive information.
- Willingness and ability to adjust working hours on occasion to participate in or support international meetings.
