Shipping Receiving Coordinator in Bonita Springs, Florida at Exalta Group

Position Summary

The Shipping & Receiving Coordinator handles the daily movement of incoming materials and outgoing shipments. This role verifies quantities and documents, completes ERP transactions, and works with other departments to resolve issues so materials and finished goods move accurately and on time.

Essential Duties and Responsibilities

• Pick, pack, label, and prepare customer shipments. Complete packing slips, coordinate with carriers, and confirm shipments.
• Pull and scan raw materials for production using picklists from Planning.
• Review Finished Goods Inventory and Pre-Inventory each day and prioritize shipments based on the approved shipping plan and customer due dates.
• Receive raw materials, components, outside-processing returns, supplies, and other production items. Check quantities, part numbers, packing slips, and purchase orders before completing receipts. Use an approved counting scale when appropriate.
• Move material awaiting Quality release into the designated Receiving Inspection location in the ERP system and physically place it in the controlled inspection area.
• Record blocked receipts in the Receiving Issues Log, follow up on missing information or discrepancies, and escalate issues that cannot be resolved promptly.
• Complete shipping, receiving, inventory transfer, putaway, and assigned material issue or return transactions accurately and on time in the ERP system. Verify lot and serial information when required.
• Stage and move materials to the correct inventory or production locations. Help with cycle counts and inventory discrepancies as assigned.
• Work with Planning, Purchasing, Quality, Operations, Material Handling, and Supply Chain leadership to resolve material and shipment issues.
• Support shipping and receiving activities at Naples, Bonita Springs, or temporary operating locations as directed during the site transition.
• Maintain shipping and receiving records in accordance with company procedures and applicable quality requirements.
• Monitor shipping supplies and request replenishment when needed.
• Keep the work area clean, organized, safe, and ready for audits. Follow 5S, PPE, and material-handling requirements.
• Safely operate approved forklifts, pallet jacks, hand trucks, and other material-handling equipment.
• Promptly escalate customer-critical, production-critical, or shipment-blocking issues through the established Tier 2 process.
• Perform other duties as assigned.

ERP accuracy is a core part of the role: When a transaction is required, the physical movement of material or a shipment is not complete until the ERP record is accurate.

Qualifications and Skills

• Manufacturing experience required; two or more years of shipping, receiving, warehouse, or inventory experience preferred.
• Experience in medical device or another ISO/FDA-regulated environment preferred.
• Experience completing shipping, receiving, and inventory transactions in an ERP system. M2M experience preferred.
• Familiarity with shipping carriers and systems, including UPS and FedEx.
• Ability to read purchase orders, packing slips, work orders, part numbers, labels, and shipping documents.
• Strong counting, recordkeeping, problem-solving, and communication skills.
• Basic computer and Microsoft Excel skills.
• Ability to manage daily priorities, work independently, follow instructions, and communicate issues promptly.

Education and Certification

• High school diploma or equivalent required.
• Logistics, supply chain, warehouse, or inventory training preferred.
• Forklift certification required, or ability to obtain it during the established onboarding period.

Physical Requirements and Work Environment

This role is performed in manufacturing, warehouse, receiving, and shipping areas with moderate noise and moving equipment. The employee must follow all safety, PPE, quality, and material-handling procedures.

The position regularly requires standing, walking, bending, reaching, pushing, pulling, and handling materials. It may involve extended periods of sitting or standing, lifting or moving up to 50 pounds, and operating approved material-handling equipment. The employee must be able to read labels, documents, and computer screens and have the vision needed to handle materials safely.
