Position Summary:
As the Facility Projects Coordinator, you play a key role in supporting the daily operations at Productive Playhouse. This position involves coordinating activities, maintaining communication with internal and external teams, ensuring smooth workflow processes, and assisting in managing site logistics. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
- Support the Facility Site Coordinator and Facility Team Manager in overseeing the day-to-day site operations to ensure smooth and efficient operations.
- Train and onboard transcription employees, monitor their performance, and provide actionable feedback to ensure quality standards are met. Implement strategies for improvement.
- Execute daily facility operations, ensuring smooth transitions between shifts and seamless workflow.
- Communicate effectively with on-site teams to ensure alignment on daily tasks, priorities, and problem resolution.
- Act as the point of contact for operational issues during the shift, resolving problems quickly and effectively. Identify operational inefficiencies and work with the Site Coordinator and Teams Manager to implement improvements.
- Prepare daily project metrics, providing detailed reports on productivity, accuracy, and performance. Track project progress and make recommendations for adjustments to ensure deadlines are met.
- Enforce clean room and secure facility protocols, ensuring compliance with industry standards and company policies. Ensure that workstations and equipment are properly maintained and sanitized daily.
- Maintain accurate records of operational data, including attendance, equipment use, and inventory management. Compile reports as needed.
- Oversee access control, including managing and assigning access cards and monitoring adherence to security procedures. Report any security violations to the Site Coordinator and team manager and assist with investigations as necessary.
- Ensure that all on-site operations comply with safety regulations and company policies. Assist in coordinating safety training and maintaining records. Collaborate with the Site Coordinator to address any maintenance or scheduling needs.
- Oversee the daily cleaning and sanitization of the entire facility, including the break room, employee areas, and all other spaces, to ensure a clean and secure environment is consistently maintained.
- Direct project-related inquiries to the appropriate team members and suggest process improvements.
- Take on additional duties as assigned by the team manager and senior management to support the facility and team’s success, including administrative, sanitation, moving office furniture, etc.
Qualifications & Skills:
- High school diploma or equivalent.
- Minimum of 2 years of experience in operations, project coordination, administrative roles, or a similar role, ideally within the language services industry.
- Strong organizational skills with attention to detail, with the ability to prioritize tasks and manage multiple projects.
- Excellent communication skills (both written and verbal). Proficiency in English is required, with strong reading, writing, and verbal communication skills to effectively engage with team members and management at all levels and across diverse backgrounds.
- Proficiency in Google Workspace (Docs, Sheets, Slides) or similar software.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong problem-solving skills with a proactive approach.
- Knowledge of safety and compliance regulations is a plus.
- Ability to identify issues and implement effective solutions to keep operations running smoothly.
- Ability to occasionally work overtime, evenings, weekends, and holidays, as needed or required.
Physical Requirements:
- Ability to stand or sit for extended periods. Must be able to navigate office environments.
- Ability to lift up to 25 lbs, occasionally required to lift and carry office supplies or equipment.
- Strong visual acuity for reviewing detailed documents and data on computer screens.
- Manual dexterity for operating a computer, including the use of a keyboard and mouse.
- Ability to perform tasks that involve repetitive hand movements, such as typing and data entry.
- Clear verbal and written communication skills for effective interaction with team members across the organization.
- Capability to manage tasks that require prolonged periods of focus and concentration.
- Ensure consistent and punctual transportation to and from the workplace.
- Ability to handle the physical demands of a standard workweek, which may include occasional overtime, weekends, and holidays. .
- Flexible hours, including evenings, weekends, and holidays, may be required to address incidents, support operational needs, or meet critical deadlines.
