Job Summary

Under the direction of the Director of International Affairs, the International Affairs

department is seeking a Document Processor responsible for the preparation and

dissemination of documentation and materials in support of our international student

population. The International Affairs department assists international students from

enrollment through graduation by providing support services that will enable participants

to progress academically and throughout the university. This position requires the

Document Processor to have strong computer skills and be a master multi-tasker with

excellent communication skills and extremely proficient with computers, Microsoft

Office, Google Suites, especially Word, Excel, PowerPoint. The position may include

serving as a Designated School Official (DSO) to ensure compliance with DHS

regulations.

Duties and Responsibilities

  • Present a professional, helpful atmosphere and positive attitude for International
  • Affairs, students, staff, faculty and visitors
  • Work as a Designated School Official (DSO) in SEVIS to maintain student
  • records, assist with processing documents for incoming and current F-1
  • international students, and perform the following functions including, but not
  • limited to issuance of initial attendance I-20s, registrations, updates to
  • biographical information, program change, and financial information, processing
  • of incoming and outgoing SEVIS transfers, start date deferrals, program end
  • dates, travel endorsement signatures, work authorizations, and maintain SEVIS
  • alert list
  • Special Requirement: Must be a U.S. citizen or lawful permanent resident (Green Card holder) and otherwise meet all federal eligibility requirements to serve as a Designated School Official (DSO) under applicable U.S. Department of Homeland Security regulations.
  • Follow up on all missing documents and maintaining accurate contact information
  • for all students
  • Accurately conduct data entry and document information into the various
  • systems (i.e., spreadsheets, student information system, SEVIS, etc.)
  • Act as a resource/liaison to internal staff and other departments regarding
  • data/records and status of international students
  • Extract data from a learning management system to a spreadsheet and input
  • data to provide academic information for the appropriate parties
  • Pull reports and organize into spreadsheets
  • Conduct calculations in spreadsheets to confirm accuracy
  • Prepare communications, such as memos, emails, reports and other
  • correspondence
  • Check general department emails and distribute to appropriate personnel
  • Create and maintain filing systems
  • Transcribe minutes from meetings, create presentations, and conduct research
  • Assist with screening phone calls and routing callers to the appropriate party
  • Provide ongoing administrative support and complete other projects as assigned;
  • assist International Affairs initiatives and events
  • Contributes to the overall success of the department by performing all other
  • duties as required

  • Proficiency in G-Suite programs such as Docs, Slides, Sheets, Forms
  • Ability to carry/lift loads between 25-50 lbs (occasionally)
  • Some travel between campuses may be required

Education and Experience:

  • 1-2 years of administrative experience required
  • Bachelor’s Degree preferred
  • Customer service experience required
  • Excellent computer skills, especially typing and data entry
  • Attention to detail.
  • Previous experience in post-secondary education strongly preferred
  • Previous experience in the use of software platforms for online classes (i.e.
  • Moodle, E-college, Blackboard, etc.) preferred
