Pay Range: $26.81 — $33.51 per hour

Job Overview:
The Team Leader is responsible for supporting the daily operations of Plum Street Imaging by providing leadership, guidance, and operational support to front office staff. This role serves as a liaison between leadership and front office coordinators, ensuring effective communication, efficient scheduling, staff development, and exceptional patient service. The Team Leader promotes a collaborative work environment while ensuring departmental processes, staffing, and operational standards are consistently maintained.

Qualifications:
Required:

  • High School Diploma or equivalent required.
  • Minimum of two (2) years of experience in a medical office, ambulatory care, or healthcare setting.
  • Previous leadership, supervisory, or team lead experience preferred.
  • Strong knowledge of medical office workflows and patient registration processes.
  • Excellent verbal and written communication skills.
  • Strong organizational, time management, and problem-solving abilities.
  • Proficiency in Microsoft Office Suite and healthcare scheduling systems.
  • Ability to effectively prioritize multiple tasks in a fast-paced environment.
  • Demonstrated ability to build collaborative relationships and provide exceptional customer service.

Preferred:

  • Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
  • Experience working within an electronic medical record (EMR/EHR) system.
  • Bilingual in English/Spanish


Scheduling Requirements

  • Working Shift: Monday – Friday
  • Day Shift
  • Full-Time, 40 Hours Per Week

Essential Functions:

  • Serves as the primary liaison between Front Office Coordinators and leadership to ensure timely, professional, and effective communication throughout the department.
  • Communicates new policies, procedures, and operational updates to front office staff while ensuring information remains accurate and current.
  • Educates and supports front office staff on departmental processes and organizational expectations.
  • Develops, coordinates, and oversees orientation schedules for newly hired Front Office Coordinators.
  • Serves as a mentor and resource for new and existing team members, providing coaching and ongoing performance feedback.
  • Ensures required competencies are successfully completed during employee orientation and onboarding.
  • Participates in the recruitment and interview process for Front Office Coordinators.
  • Maintains payroll records, including timekeeping, attendance, and paid time off requests for front office staff.
  • Partners with leadership to address attendance concerns, policy compliance, and employee performance issues.
  • Assists with developing, maintaining, and editing departmental staffing schedules.
  • Enters scheduling updates, time edits, and payroll changes into the timekeeping system.
  • Monitors daily staffing levels and collaborates with leadership to ensure appropriate coverage for patient care and operational needs.
  • Coordinates mandatory education and compliance training for front office staff.
  • Supports departmental initiatives focused on operational excellence, employee engagement, and exceptional patient experience.
  • Performs other duties as assigned.
