Job Title: Site Administrator

The Opportunity:
Barminco Mining Services USA has an exciting opportunity for a highly organized and detail-oriented Site Administrator to join our team at a project location 65 miles outside of Elko, Nevada. Reporting to the Project Manager, the successful candidate will be responsible for data management, administrative tasks, and assisting site operations with precision. The ideal candidate will bring advanced data entry expertise and technical proficiency in Microsoft Access, Excel, Outlook, and related systems to manage databases and facilitate smooth site processes.

Location: 65 Miles outside of Elko, Nevada
Shift: 7-days on / 7-days off rotation

Accommodation: Camp or other accommodations and meals provided

Key Responsibilities:

  • Accurately enter daily production data and worked hours into MINREP and contract records, ensuring precision in data entries.
  • Manage and update the MINREP database, including contract items, headings, and trucking distances, to maintain data integrity and accuracy.
  • Assist with maintaining employee files and databases, promptly updating leave records, rosters, and other personnel information.
  • Coordinate logistics for site operations, including booking flights and accommodations for employees and subcontractors.
  • Support the bi-weekly payroll process by managing the employee roster and entering data into the time and attendance system accurately.
  • Maintain an organized office filing system, ensuring timely distribution and accessibility of correspondence.
  • Liaise with HR and client representatives for new employee project clearances and coordinate the onboarding and induction processes.
  • Serve as the primary point of contact for client and employee inquiries, fostering effective communication with all stakeholders.
  • Adhere to confidentiality and compliance standards in handling sensitive information, in line with legislation and company policies.

Qualifications:

  • Minimum of 5 years in an administrative role with technical responsibilities; a Diploma in Technical Office Administration or a related field is preferred.
  • Strong proficiency in database systems, such as the entire MS Office Suite (Word, Excel, Outlook, Access). Experience working with MINREP preferred.
  • Exceptional organizational, planning, and multitasking abilities, with a strong capacity to prioritize in a fast-paced environment.
  • Meticulous attention to detail, ensuring accuracy in data entry and database management.
  • Effective communication and interpersonal skills, with the ability to coordinate across diverse teams and departments.
  • Demonstrated discretion in handling confidential information, meeting privacy and compliance requirements.
  • Flexibility to take on additional projects as needed and adaptability to new software tools and updates.
  • Ability to work independently with minimal supervision, and collaboratively within a cross-cultural team environment

Work Conditions:

  • Ability to do shift camp work on a rotational basis (dayshift/nightshift), typically the rotations are 1 week on site (minimum 12-hour days), followed by 1 week off – working statutory holidays as they fall within the rotation
  • While performing the duties of this position, the employee is frequently required to communicate, sit, stand, walk, climb, reach, push/pull, manipulate objects and work in awkward positions
  • Duties may involve moving materials weighing up to 50 pounds
  • Manual dexterity and good eye-hand coordination are required
  • Extreme weather conditions
  • Noise level in the work environment is moderate to high
