- Coordinate proposal compliance activities by tracking deadlines, submission requirements, and supporting documentation throughout the proposal lifecycle.
- Maintain proposal trackers, compliance checklists, and workflow systems to ensure visibility and accountability across teams.
- Organize, manage, and maintain files within collaboration and document management platforms, ensuring version control and document accuracy.
- Complete and maintain government forms, registrations, certifications, and compliance-related records.
- Monitor procurement and bidding portals for opportunities, updates, amendments, and submission deadlines.
- Support proposal preparation through document formatting, PDF creation, quality checks, and final submission readiness activities.
- Communicate project updates, compliance requirements, and critical information to internal stakeholders to ensure timely execution.
- Assist proposal and business development teams in maintaining organized and efficient proposal operations.
- Bachelor's degree in a related field or an equivalent combination of education and professional experience.
- Minimum of three years of experience in proposal coordination, proposal compliance, administrative operations, or a related function.
- Strong attention to detail with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent organizational, planning, and time management skills.
- Strong written and verbal communication abilities, with the capacity to collaborate effectively across teams.
- Experience with document management, workflow coordination, and process tracking.
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Advanced working knowledge of Adobe Acrobat and PDF document preparation.
- Experience using SharePoint, Microsoft Teams, or similar collaboration and content management platforms.
- Ability to handle confidential information with professionalism, discretion, and integrity.
