Job Description

Job Summary
The Administrative Watch Specialist provides administrative and operational support to the Watch Department. This position is responsible for coordinating repairs, maintaining inventory records, communicating with vendors and service centers, and supporting the overall efficiency of department operations. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced luxury retail environment. Previous watch industry knowledge preferred.

Primary responsibilities
• Repair & Service Coordination: Process, track, and maintain records for watch repairs, warranties, and service requests. Communicate with customers, vendors, and service centers regarding repair status, estimates, and completion timelines.
• Inventory Management: Maintain accurate inventory records, verify watch specifications and serial numbers, process inventory transfers, and assist with inventory audits and reconciliation activities.
• Vendor Communication: Serve as a point of contact for watch manufacturers, vendors, and service centers regarding repairs, inventory, special orders, warranties, and merchandise shipments.
• Administrative Support: Maintain department files, reports, spreadsheets, and documentation. Monitor department email communications, prepare correspondence, and assist with scheduling and special projects.
• Customer Support: Provide exceptional customer service by assisting with repair inquiries, special orders, warranty questions, and other watch-related requests.
• Shipping & Receiving: Coordinate incoming and outgoing shipments for repairs, transfers, and vendor returns while ensuring accurate documentation and tracking.
• Sales & Operations Support: Support the watch sales team by maintaining accurate records, monitoring inventory availability, processing department requests, and assisting with operational tasks as needed.
• Additional Tasks: Perform other duties and special projects as assigned to support department goals and business needs.

Qualifications
• Administrative Experience: Previous administrative, office support, retail operations, or customer service experience required.
• Organization & Accuracy: Strong organizational skills with exceptional attention to detail, follow-through, and recordkeeping accuracy.
• Communication Skills: Excellent written and verbal communication skills with the ability to interact professionally with customers, vendors, and team members.
• Problem-Solving: Strong analytical and problem-solving skills with the ability to prioritize tasks and meet deadlines.
• Technical Skills: Proficient in Microsoft Office applications and comfortable learning inventory management and retail software systems.
• Watch Knowledge: Knowledge of luxury watches, watch brands, watch terminology, and watch repair processes is preferred.
• Attitude: Positive attitude, self-motivated, dependable, and able to work independently while managing multiple responsibilities.

Working Conditions
• This is a full-time position
• May require overtime, especially around the holiday seasons, inventory events, special promotions, and occasional trunk shows.
• Ability to lift and move packages, merchandise, and shipping materials up to 25 pounds.
• Work is performed in both an office and luxury retail environment with frequent interaction with customers, vendors, and internal team members.
