Job Description: Receiving Specialist
Position Overview
The Receiving Specialist is responsible for accurately receiving, inspecting, and recording all inbound goods, materials, and products to support efficient warehouse operations and maintain high inventory accuracy. This role plays a critical part in ensuring data integrity within the company’s ERP system (Odoo) and supporting the material flow required for production and service operations. As a growing organization, this position will also assist with material handling, warehouse organization, and cross-functional support as needed.
This role is essential to improving operational readiness, supporting business growth, and strengthening the accuracy and reliability of inventory and production data.
Key Responsibilities
Receiving & Inspection
Receive all inbound shipments, verifying quantities, part numbers, and condition of goods.
Inspect materials for damage, discrepancies, or quality issues and escalate concerns promptly.
Ensure all receiving documentation (packing slips, BOLs, invoices) is accurate and complete.
Communicate with suppliers or internal teams regarding discrepancies or missing items.
ERP (Odoo) Transactions & Data Accuracy
Accurately enter receiving data into Odoo, ensuring real-time inventory updates.
Match received goods to purchase orders and resolve mismatches.
Maintain clean, accurate digital records for traceability and audit readiness.
Support continuous improvement of receiving workflows within Odoo.
Material Handling & Warehouse Support
Move received materials to designated storage locations using pallet jacks or forklifts.
Support kitting, staging, or line-feeding activities as needed.
Assist with cycle counts, inventory audits, and root-cause analysis of discrepancies.
Maintain a clean, organized, and safe receiving area.
Cross-Functional Collaboration
Work closely with Procurement, Inventory Control, Production, and Quality teams to ensure smooth material flow.
Communicate receiving delays, shortages, or issues that may impact production schedules.
Support warehouse operations during peak periods or staffing gaps.
Qualifications
Required
1–3 years of experience in warehouse, receiving, or material handling roles.
Strong attention to detail and commitment to accuracy.
Ability to operate forklifts or willingness to obtain certification.
Basic computer skills and comfort working in ERP systems.
Ability to lift up to 50 lbs and work in a fast-paced environment.
Preferred
Experience with Odoo or similar ERP systems.
Familiarity with manufacturing or assembly operations.
Knowledge of inventory control principles (FIFO, cycle counting, etc.).
Strong communication and problem-solving skills.
