Volunteer Administrative Coordinator

Position Profile

This role supports the Volunteer Services Department by ensuring efficient, accurate and well-coordinated administrative and technology operations. Serves as a key resource for volunteer-related systems, databases and reporting tools, partnering with Information Services and department staff to maintain system functionality, data integrity, compliance documentation and process consistency. Provides business analysis, reporting, volunteer record maintenance and high-quality administrative support to strengthen department operations, improve workflows and support the effective engagement and management of HOV volunteers.

Responsibilities

  • Serves as a subject matter expert and primary resource for Symplr, Staffbridge, The Volunteer Timekeeper, Volgistics, Power BI and HCHB systems.
  • Processes volunteer status, role and profile changes, including team transfers, volunteer exits and competency updates.
  • Ensures volunteer files are current, complete and compliant.
  • Maintains volunteer system data integrity, accuracy and consistency.
  • Develops, maintains and analyzes reports, queries and spreadsheets.
  • Provides business analysis for volunteer systems, processes and data.
  • Provides high-quality administrative and departmental support.
  • Maintains professional knowledge and enhances job-related skills.
  • Adheres to high standards of personal and professional conduct.

Minimum Qualifications

  • High School diploma or equivalent experience.
  • Associates degree in business administration, healthcare administration, information systems or a related field preferred.
  • Minimum of three years of progressively responsible administrative, data management, business support or systems support experience preferred.
  • Experience using reporting tools, spreadsheets, databases and electronic document management systems preferred.
  • Strong proficiency with Microsoft Office applications, including Excel, Word and Outlook; ability to learn and effectively use volunteer, reporting and health care-related systems.
  • Ability to research, troubleshoot and resolve system, workflow and data issues with accuracy and follow-through.
  • Excellent organizational skills with strong attention to detail and the ability to manage multiple priorities, deadlines and recurring compliance requirements.
  • Excellent interpersonal skills to interact with others in a pleasant helpful and cooperative manner.
  • Basic mathematical functions
  • Ability to make decisions based upon information provided from different sources.
  • Ability to represent HOV on the telephone to external customers.
  • Must possess good human relation skills.
  • Must be able to comprehend written and verbal communication.
  • Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness and work with a minimum of supervision.
